Pre-Trial Services Corp Executive Administrative Assistant in Rochester, New York

OBJECTIVE OF THE POSITION: To provide confidential clerical/support services to the Administration of Pre-Trial Services CorporationDUTIES OF THE POSITION: •Perform confidential support/clerical duties as directed by the Administration of PTSC•Record and retrieve financial information from both manual and automated systems•Assist in the preparation of financial statements•Prepare and electronically enter the payroll and fringe benefit information into the agency financial software•Utilize websites to input and manage fringe benefits and payroll•Reconcile bank statements•Prepare bills for approval and prepare checks for payment•Act as the Team Leader for the support staff, coordinating coverage for the Administrative Assistants•Utilize computer for word processing software for generating documents and communications•Answer phones and generate messages•Greet and direct visitors and clients•Processing incoming and outgoing mail for administrative staff•Utilize automated management information and manual systems to generate reports, retrieve data, manage electronic communications and update calendaring•Reproduce and distribute documents and communications•Process personnel and benefit related forms as directed and distribute to appropriate designees•Provide support services for the Board of Directors’ activities as directed by the Executive Director•Responsible for agency inventory and management of supplies and equipment•Responsible for processing program fees and maintaining records of such fees•Function as a member of the agency Support Team•Perform other tasks as deemed appropriate by the administration of Pre-Trial Services CorporationMINIMUM REQUIREMENTS/PERFORMANCE STANDARDS:•Must demonstrate broad cultural sensitivity and a non-judgmental approach to clients•Must have related experience in a financial record keeping, personnel and/or general administrative support position•Must have automated management information system experience and skills•Must have strong clerical skills in typing, data entry, filing and project managementIN AN ADMINISTRATIVE/FINANCIAL SUPPORT POSITION, HAS:•Demonstrated ability to manage confidential information in an appropriate manner•Demonstrated the ability to organize and accomplish tasks in a timely and accurate manner•Demonstrated the ability to manage multiple assignments and projects successfully by meeting deadlines and accomplishing tasks error free•Demonstrated initiative in identifying tasks to be completed and in managing assignments•Demonstrated the ability to work well within a team oriented environment and under director from multiple sources•Demonstrated ability to consistently and accurately assess and define relevant information in complex situations and generate multiple options for action•Demonstrated ability to work well with others and deal with conflicts helpfullyBachelor’s Degree with a minimum of 1 year relevant experience in accounting and/or a related field ORAssociates Degree with a minimum of 3 years of relevant experience in accounting and/or a related fieldORSecretarial/Bookkeeping training from an accredited training institution with 5 years of relevant experience in financial record keeping, administrative secretarial support and general office duties.ORAny combination of training and experience as deemed equivalent by the Executive Director

Minimum Salary: 21.00 Maximum Salary: 28.00 Salary Unit: Hourly
