The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Develops methods for data collection, analysis, and reporting for a department or school. Utilizes best practices. Analyzes and interprets data using statistical techniques. Identifies actionable insights and recommendations. Creates presentations and reports based on findings. Works directly with clients to identify analytical requirements as well as collect data requirements, analyze, determine technical issues, and design ad-hoc reports. Collects, analyzes and documents business requirements and translates into function and system requirement specifications. May guide other less experienced team members

Under the direction of the Associate Director for Systems and Operations, this position supports immigration sponsorship for over 4,000 F-1 and J-1 students, research scholars, employees, and their families. Working with the ISO Advising Services team, the role provides guidance on administrative procedures, reporting requirements, and services available through ISO and the University. Responsibilities include reviewing and coordinating high-volume immigration requests to ensure SEVIS compliance and accurate, timely processing. This position maintains knowledge of immigration regulations to address inquiries effectively, supports institutional reporting, tracks service metrics, and assists with office operations. The role fosters a professional, inclusive environment and encourages ongoing professional development to stay current in the field.

RESPONSIBILITIES:

  • Coordination of Immigration Requests

  • Manage the intake and allocation of immigration requests for various program updates, benefits, and other related processes.

  • Monitor high-volume electronic submissions, ensuring timely and accurate processing.

  • Interpret and evaluate immigration requests for eligibility, accuracy, urgency, and required follow-up.

  • Maintain a comprehensive understanding of academic and administrative policies specific to each University school or unit to provide accurate case assignments and referrals.

  • Continuously assess and identify emerging challenges, trends, and opportunities for operational improvement.

  • Service Operations & Communications Support

  • Provide ongoing support for regular service desk operations, including managing multiple ISO email accounts, handling phone calls, processing physical mail, and assisting visitors as needed.

  • Supervise and guide service desk staff in responding to inquiries, making referrals, and distributing government documents.

  • Supervise, train, and coordinate student workers to support ISO operations, ensuring they are equipped to assist with inquiries, document processing, and other administrative tasks. Provide ongoing feedback and performance evaluations to ensure high-quality service.

  • Respond to inquiries and service requests from university academic units, administrators, and other stakeholders.

  • Oversee the collection and integration of external documents into electronic records for reporting and advising purposes, such as Academic Change forms and PhD completions.

  • Track and maintain ISO service records and performance metrics, including foot traffic patterns, inquiry volume (phone and email), and caseload trends, to assess service efficiency, support institutional reporting requirements, and recommend improvements to operational processes.

  • Train new service desk staff on ISO procedures and customer service expectations to ensure consistency in responses and handling inquiries.

  • Attend and actively participate in student advising and scholar/employee advising team meetings, led by respective team managers, to foster collaboration, ensure open communication, and build strong rapport across teams. Contribute to discussions on operational updates and shared goals to maintain alignment between advising services.

  • Engage in professional training to stay up-to-date on international education practices and office management.

  • Immigration Regulatory Compliance

  • Serve as the F-1 Designated School Official (DSO) and J-1 Alternate Responsible Officer (ARO) on behalf of the University.

  • Evaluate individual, program, and travel needs to ensure proper immigration reporting and identify potential complications.

  • Process travel endorsement requests in accordance with regulatory requirements.

  • Review and analyze updates to government records, issuing immigration documents on behalf of the University as needed.

  • Collect, organize, and assemble official USCIS approval notices and petitions for H-1B beneficiaries and coordinate their delivery to H-1B beneficiaries and hiring departments.

  • Ensure full compliance with the Student and Exchange Visitor Information System (SEVIS) by adhering to all government reporting requirements and deadlines.

  • Foster strong relationships with external stakeholders (e.g., Department of Homeland Security, Department of State) to stay informed of regulatory updates and compliance changes.

  • Conduct internal audits of SEVIS records to ensure ongoing accuracy and compliance with government regulations.

  • Immigration Advising Support

  • Provide instruction to incoming, current, and former international populations on ISO requirements, necessary forms, available services, and related procedures.

  • Communicate and enforce policies to manage processing requests, advising schedules, and service desk operations.

  • Offer general guidance on Social Security Numbers (SSN), tax procedures, and Individual Taxpayer Identification Number (ITIN) processes, referring individuals to the Support and Engagement Team as needed.

  • Develop and regularly update immigration-specific informational resources, such as email communications, guides, FAQs, and other digital content, to help international populations navigate immigration requirements and services, ensuring these resources are consistently updated on the ISO website.

  • Collaborate with Immigration Advisors and other ISO staff to determine appropriate advising strategies and resolutions for complex cases.

  • Ongoing Operations

  • Lead coordination of special projects and initiatives assigned by ISO leadership, ensuring timely completion and alignment with ISO goals.

  • Assist in the development and updating of operational procedures to enhance efficiency and improve service delivery within the office.

  • Support outreach and engagement efforts by participating in campus-wide events and activities aimed at international student and scholar populations.

QUALIFICATIONS :

  • Bachelor's degree with major course work in social or technical field; or an equivalent combination of education and experience required.

  • Experience with cross-cultural exchange and/or studying or working overseas is strongly preferred.

  • Must be able to work both independently and as a constructive, collaborative member of team efforts, internally and across academic units required.

  • Knowledge of legal or regulatory topics and at least 3 years office and/or administrative experience are preferred.

  • Considerable skills in critical thinking are required, as well as independent judgment under limited supervision of daily tasks required.

  • Proficiency with Microsoft Office applications is needed, and experience or comfort in learning new software programs required.

  • Must be a U.S. citizen or Permanent Resident, per federal regulations required.
