SUMMARY: Provides secretarial services to the Community Services Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
Initiates and executes correspondence. Transcribes, edits, copies, distributes and maintains files for the Community Services Department and/or others as assigned.
Assures confidentiality of all communications, oral and written, including, but not limited to personnel, labor relations, policy and individual related matters.
Assures all Individualized Service Plan review invitations and packets are mailed out to individual, family members and other staff by agency policy and OPWDD regulatory deadlines.
Responsible for tracking the dates due and send dates of all ISP's and invitations.
Responsible for inputting all of the Community Services Department's Developmental Disability Profiles (DDP's).
Attends and takes minutes for the Community Services Department meetings as requested. Distributes minutes to all staff.
Performs typing and data entry with knowledge of Windows, Excel, Access and Microsoft Office programs.
Completes the auxiliary filing yearly and as requested.
Assists with general office management by performing duties such as ordering of supplies and coordinating the distribution for the department.
Must have a valid NYS Driver's license and a reliable vehicle to be able to travel to various work locations.
Advises supervisor on methods to improve workflow and any obstacles in performing duties.
Performs all other duties relevant to the position.
Qualifications:
High school diploma or equivalency with 2 years of secretarial experience or an Associate's Degree in Secretarial Science
