We are looking for a Proposal Coordinator who is a self-starter responsible for proposal planning and the development of RFP-compliant submittals. This position will work with technical staff (Engineers, environmental scientists, etc.) and other marketing staff to conduct proposal development efforts. This would entail coordination with different departments to obtain and update resumes and project sheets; locating relevant materials on the corporate marketing database and through other means of research; formatting, editing, and writing; and helping to ensure the quality and timeliness of printing, binding, and delivery of proposals. To be successful in this role you must have a keen eye for detail and a passion for organization as it is essential for compliance with our various city, county, and federal clients.
Responsibilities
Research and develop sound technical solutions to address unit process and yard piping components associated with water, wastewater, and stormwater related facilities.
Prepare bid documents, drawings/specifications, calculations, addenda, change orders, investigation reports, and other work product as required by the scope.
Review shop drawings and respond to questions from the contractor during construction.
Conduct on-site inspections/investigations including surveys and documentation of client/facility issues and solutions.
Develop reports of investigative findings, repair drawings, and specifications as required.
Maintain project records and perform all other assigned duties.
Organize proposal debrief meetings as needed.
Make proposal assignments to technical and support staff.
Maintain and develop websites, newsletters, emails, and social media campaigns.
Conduct pre-proposal strategic planning meetings along with red team and pink team review meetings.
Adjust marketing materials in response to reviews and requests.
Attend professional conference meetings and represent the organization.
Provide proposal illustrations and graphics.
Contribute to all company marketing initiatives.
Facilitate go/no go decisions.
Develop proposal plans, draft proposal themes, and develop proposal and win strategies.
Essential Skills
5+ years of AEC Industry Experience in Proposal Coordinating, marketing, business development, or sales with an A/E services firm.
Proficiency with AEC Software such as CANVAS, Adobe InDesign, Illustrator, or Microsoft Project.
Experience coordinating with engineers, scientists, and third-party vendors.
Well-organized and skilled in setting priorities and meeting deadlines.
Detail-oriented and driven by consistency in work.
High level of skill in the use of the English language; excellent written and verbal communication skills.
Outgoing personality to effectively represent the company in industry events.
Strong communication and interpersonal skills.
Proficiency with Microsoft Office suite.
Ability to address, understand and respond to the needs of clients.
Must be a team player and able to make decisions to enhance organizational effectiveness.
Must demonstrate excellent attention to detail.
Must be able to handle multiple deadlines.
Must be able to develop a work schedule, set goals, create/implement action plans, and monitor progress towards goals.
Additional Skills & Qualifications
APMP professional designation is a plus.
Proficiency with Illustrator and Adobe InDesign is strongly preferred.
Experience in proposal writing, technical writing, and developing marketing materials.
Work Environment
This role involves coordinating all proposal efforts, from identifying the timeline from RFP Date to the submittal Date, keeping everyone on track, and ensuring the process is efficient. Responsibilities include ensuring Sub Consultants provide their parts, updating all forms, and complying with RFP mandates, SOPs, and regulations. The position entails 80% proposal coordination and 20% internal engineering administrative responsibilities. The work schedule is hybrid, with most employees working 3 or 4 days in the office and 1 or 2 days remotely (flexible).
