Job Description: Benefits Operations Specialist

Overview:

The Benefits Operations Specialist will provide essential support to the Benefits Center of Excellence (CoE) in the administration of health, welfare, and retirement plans. This role involves process design for benefits enrollment programs, continuous improvement of operational excellence regarding vendor management, payroll and benefits reconciliation, and governance/compliance practices.

Essential Functions:

  • Benefits Administration: Assist in the daily administration of company benefit programs, ensuring efficiency and accuracy in all processes.

  • Inquiry Response Coordination: Coordinate responses to general benefit inquiries, providing accurate and timely information to employees.

  • Employee Self-Service Efficiency: Ensure employee benefit self-service platforms are efficient and user-friendly.

  • Payroll Accuracy: Ensure the accuracy of benefits data for payroll processing, prepare payroll-related documents, and compile necessary data.

  • Data Maintenance: Oversee the maintenance of current employee data related to benefits management and payroll processing.

  • Payroll Support: Provide support to ensure payroll is processed accurately, compliantly, and in a timely manner.

  • Reporting: Prepare and analyze relevant payroll and benefit reports.

  • Confidential Employee Handling: Handle sensitive employee situations confidentially, trustworthily, and professionally.

  • Process Improvement: Review and improve the benefits enrollment process for new and existing employees through process mapping, stakeholder interviews, and user experience enhancements for the US and Canada.

  • Communication Plan Design: Design and implement communication plans for open enrollment, utilizing multiple communication channels.

  • Intranet Maintenance: Maintain the Benefits resources section in employee intranet portals.

  • Benefit Verifications: Process various benefit verification documents, including coverage letters, termination letters, Medicare letters, and qualified medical support orders.

  • Vendor Report Processing: Review and process weekly vendor reports, making necessary updates or escalating issues.

  • Retiree Medical Plan Administration: Administer U.S. retiree medical plans, including retiree letters, coverage set up and termination, invoices, enrollment tracking, and file transfers.

  • Financial Reconciliation: Conduct financial reconciliations and process invoice payments and vendor checks.

  • Plan Administration Reporting: Generate and analyze reports on general plan administration, including Health & Welfare, ADP, COBRA, Wellness, ACA, etc.

  • Employee Support: Respond to employee questions and requests, escalating where necessary.

  • Retirement Plan Reconciliation: Reconcile and fund U.S. and Canadian retirement plans.

  • Tuition Reimbursement Administration: Administer tuition reimbursement and scholarship programs.

  • Audit Support: Conduct enrollment and plan audits as necessary and support annual plan audits for retirement and health and welfare plans.

  • Wellness Activities: Support local wellness activities and initiatives.

Qualifications/Requirements:

  • Minimum of 3+ years of benefits administration or related HR experience.

  • Advanced proficiency in Microsoft Office tools (Excel, PowerPoint, Word).

  • Strong organizational skills and attention to detail.

  • Excellent problem-solving, analytical, verbal, and written communication skills.

  • Experience handling confidential information with discretion.

  • Results-oriented and highly motivated, capable of completing multiple assignments accurately and promptly.

  • Comfortable working under pressure with tight deadlines.

  • Ability to multi-task, think independently, and collaborate effectively in a team environment.

  • Capable of communicating with stakeholders at all levels to drive business outcomes.

  • Adaptable to a fast-paced, ever-changing environment with a sense of urgency.

  • Superior project management, organizational, and problem-solving skills.

  • Ability to navigate complexity, build new processes, operate autonomously, and thrive in ambiguity.

  • Experience in understanding organizational issues and driving solutions.

  • Strong negotiation skills and ability to manage competing priorities.

Position Details:

  • Schedule:

  • Monday to Friday, 10 hours a week

  • Must be available on Tuesday afternoons and Wednesday mornings

  • Location: Open to fully remote

  • Pay Rate: $30/hr
