Robert Half Part Time Office Manager (20-24 hours/week) in Saint Paul, Minnesota

Description

We are offering a permanent employment opportunity for an Office Manager in Saint Paul, Minnesota. The Office Manager will play a key role in supporting the daily operations of the organization, acting as the primary point of contact for internal and external stakeholders, and ensuring the smooth running of office functions.

Responsibilities:

• Oversee office operations including office supply management, equipment maintenance, and workroom organization.

• Carry out a full-cycle accounts payable

• Handle incoming calls and assist visitors, providing excellent customer service and detail oriented assistance.

• Coordinate and communicate effectively with external groups such as building security, maintenance and loading dock personnel.

• Manage administrative tasks such as mail distribution, calendar management for conference rooms and data entry into accounting software.

• Provide support for new employee permanent efforts including orientation and record keeping.

• Assist with network administration duties as requested, providing technical assistance to staff and training users in Microsoft Office and Outlook.

• Support organization's finances by organizing and mailing checks, receiving invoices, making deposits, and maintaining proper financial documentation and records.

• Liaise with building and parking facilities management to ensure a fully functional office environment.

• Participate in the yearly organization audit, providing oversight and review of financial documentation and records.

• Contribute to the development of effective office operations policies, promoting a productive work environment.

Requirements • Proficient in using CRM software for customer relationship management

• Able to perform accounting functions effectively

• Experience in handling Accounts Payable (AP)

• Capable of answering inbound calls in a detail oriented manner

• Skilled in entering invoices accurately and efficiently

• Proficiency in using QuickBooks for financial management

• Familiarity with Quickbooks Online for remote and flexible accounting tasks
