Description
Robert Half is working with a local, well-known organization who is looking for an Executive Assistant to join their team for about 3-6 months. In this role, you will be expected to provide administrative support to the Legal/Compliance team by effectively managing a variety of tasks ranging from scheduling to event coordination.
Responsibilities:
Ensure smooth operation of the corporate team by serving as a link between directors/vice presidents and the Executive.
Manage the Executive's schedule effectively, prioritizing based on business goals and anticipated needs.
Act as a company representative to internal and external parties by welcoming visitors, reviewing correspondence and responding to inquiries directed to the Executive.
Organize corporate travel and meetings, which includes developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations.
Undertake special assignments and projects by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving and adjusting plans.
Enhance the Executive's and corporation's reputation by taking ownership of new and different requests and exploring opportunities to add value to job accomplishments.
Strive for process improvement by studying, evaluating, and redesigning processes, and implementing changes.
Stay updated on job knowledge by participating in educational opportunities, reading detail-oriented publications, maintaining personal networks, and participating in detail-oriented organizations.
Plan and execute high visibility events, such as charity functions and corporate events.
Requirements
• Demonstrated proficiency in answering inbound calls, providing information, and directing calls to the appropriate personnel
• Proven experience in accurate data entry and management
• Ability to handle email correspondence professionally and efficiently
• Experience in scheduling appointments, coordinating meetings, and managing schedules
• Proven ability in coordinating and planning events, including logistics and attendee management
• Strong skills in calendar management, with the ability to effectively manage multiple calendars simultaneously
