Summary This position is located in the Transfer & Lodging Center (TLC) within the Nursing Service. The Program Support Assistant (PSA) facilitates administrative operations of the unit and reports directly to the Float Nurse Manager. The Program Support Assistant works closely with Veterans, contracted vendors and hotels to provide lodging for Veterans living 75 miles or further from the Salt Lake City VA. Responsibilities Duties include but are not limited to: Maintains daily functions of the Transfer & Lodging Center. Determines eligibility for Veterans and coordinates with contracted vendors and hotels to reserve lodging for the Veteran's stay. Ensures eligibility and compliance for Veterans using RV lot. Manages high volume calls from Veterans, families, and clinical staff. Uses the Computerized Patient Record System (CPRS) and the Veterans health information and Technology Architecture (VistA) to update Veteran demographic information and register new Veterans. Receives requests from patients, family members, and staff for lodging accommodations for Veterans coming for outpatient appointments or admissions Resolves minor issues related to the hotel, RV Lot and Veteran complaints, and keeps the Float Pool Nurse Manager informed. Audits monthly invoices, confirming accuracy and works with contracted vendor to resolve discrepancies and ensures fiscal responsibility. Monitors contracted vendors for adherence to contract provisions and customer service. Maintains administrative accounting and statistical reports according to VA filing system. Maintains records of Hotel stays, admissions, future lodgers, and veteran complaints. Processes IFC (Inter Facility Consults) updates for veterans administratively. Uses word processing software to execute several office automations functions such as storing and retrieving electronic documents and files. Interacts with various customers, including Veterans, family members, clinical support staff, and contracted vendors for the hotels. Communicates with physicians, nurse practitioners, case managers, nursing staff and other allied health professionals using sound interpersonal skills while protecting sensitive information. The incumbent finalizes scheduled admission lists, scheduled operations list, schedules future inpatient admissions in VistA for Veterans from clinics and outside VA Hospitals, Performs timekeeping for Float Pool staff, CNO's, and TLC staff. Maintains statistical data and spreadsheets required for hotel lodging. Maintains and orders supplies for the TLC, CNOs and administrative staff. Performs other duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/16/2024. GS-6 You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. You may qualify based on your experience and/or education as described below: Specialized Experience:. You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information. GS-7 Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6 and for a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items (medical records, computing devices, manuals, papers, books, small parts), or driving an automobile. The work requires manual dexterity for computer data entry, office machine operation and filing. However, in general, the work does not require unusual physical demands. The work does require emotional stability to resolve crisis situations.
