Job Summary

Leads comprehensive planning, management, and coordination of institutional and external scholarship processes, including application-based scholarships, direct awarding, waivers, and other forms of gift aid. Supports and advances the effective and efficient awarding of new and continuing university merit and need-based scholarships, and implements efficiencies in integration and coordination of platforms, policies, and practices affecting scholarships and financial aid. Assesses and makes recommendations for effective administration of donor agreements and coordination of expenditures and awarding. Monitors compliance with federal, state, and institutional regulatory and policy guidelines to ensure effective operations. Participates in scholarship programming and communications. Serves key role in the university’s effort to attract and maintain a qualified and diverse student body.

Temporary (Up to 12 months); may well need option to renew for additional 12 months

This position may be fully remote which requires the ability to fulfill position responsibilities through virtual/electronic means.

Responsibilities

1. Scholarship Integration and Operations

a. Assesses existing and planned university merit scholarship programs for efficient and effective program administration and processes; makes recommendations and shepherds implementation for enhancements, particularly to selection, notification, and administration

b. Supports planning, direction, management, and oversight for institutional scholarship programs

c. Develops and updates mapping of scholarship policies, processes, and workflows, and works to identify and reinforce consistent definitions, policies, and processes campus-wide

d. Refines policies, processes, and procedures to effectively monitor scholarship eligibility criteria as well as timely, accurately, and compliant awarding, disbursement, and reconciliation

e. Assesses effectiveness of processes for student scholarship awareness and access, and makes recommendations for enhanced scholarship search, application, decision-making, notification, awarding, and reconciliation; includes integration of relevant software platforms

f. Assesses scholarship outcomes and makes recommendations meeting institutional and program goals

g. Identifies and recommends efficiencies for processing and integrating external scholarships

2. Scholarship Programming and Communications

a. Supports effective, timely dissemination of clear, accurate information regarding university scholarships, including entire lifecycle of scholarships

b. Develops programming to promote and enhance university scholarships and utilization

c. Identifies strategies to improve scholarship search mechanisms and communication of scholarship opportunities to students and families

d. Oversees effective communications of scholarship policies and procedures (including rights & responsibilities and/or terms & conditions)

e. Ensures eligible recipients are notified timely and accurately and through dynamic, transparent means

f. Helps create and disseminate effective communications regarding scholarship eligibility criteria and application processes and procedures; includes advising university offices and departments regarding scholarship eligibility criteria, particularly financial need-based criteria

g. Identifies and helps design training for scholarship administrators (institutional and off-campus/external partners).

3. Overall Office Management, Compliance, and Effectiveness

a. Partners in office management team’s monitoring and assurance that overall office operations are functional, accessible, efficient, and compliant

b. Suggests refinements to timeline/calendar for ongoing and anticipated projects and tasks for the scholarships area, and in coordination with other areas of the office

c. Identifies and delivers professional development, training, mentoring, and coaching needs to help ensure staff competencies and professionalism

d. Monitors the appropriateness and effectiveness of service within the office and makes recommendations for improvements

e. Supports development and maintenance of relevant systems supporting functions of scholarship area

f. Analyzes process outcomes and workflow to ensure and identify efficiencies in productivity and budgeting

g. Helps forecast, develop, and implement policies and procedures in the areas of customer service, staff management and development, and budgetary goals that are consistent with University of Utah’s policies

h. Assesses and makes recommendations for effective administration of donor agreements and coordination of expenditures and awarding

i. Maintains effective working relationships and serves as a resource regarding scholarship and financial aid issues, policies, and procedures

j. Maintains current access to systems affecting position responsibilities.

k. Performs other duties as assigned by Executive Director

Minimum Qualifications

Requires a bachelor’s degree or equivalency (one year of education can be substituted for two years of related work experience) and at least 5 years of experience in the field or in a related area.

Preferences

  • Master’s degree preferred.

  • Prefer previous work experience administering student financial aid, including merit scholarships.

  • Strong preference for previous experience with PeopleSoft and scholarship management technologies.
