Job Description
The Advancement Services Coordinator supports all University Advancement (UA) functions. Reporting to the Advancement Services Manager, the coordinator’s duties include but are not limited to gift processing and receipting, database administration, reporting, and research. The position requires a high degree of confidentiality, responsibility, and detail-orientation.
Responsibilities:
Process philanthropic gifts, ensuring all aspects of departmental processing are complete (e.g., stamped donation receipt date, check copies, gift entry into Raiser’s Edge database, deposit coordination).
Generate tax receipts and coordinate with university personnel to facilitate appropriate gift acknowledgement letters.
Track outstanding pledges and mail pledge reminders monthly.
Judiciously prepare and share lists/labels in support of department outreach upon approval by the Advancement Services Manager.
Assist with annual giving appeals by creating appeal codes, lists, and performance reports.
Update/correct constituent data and add new constituents to the database for all constituencies on an ongoing basis.
Partner with the Office of the Registrar and Alumni Engagement to obtain, clean, and import new graduate lists three times per year.
Conduct prospect research.
Other duties as assigned
Required Education and Experience:
Bachelor's degree in a related field.
Six (6) years of related experience.
Preferred Education and Experience:
Experience using fundraising software, preferably Raiser’s Edge.
Experience in preparing complex reports.
Experience using Windows-based office programs.
Knowledge, Skills, and Abilities:
Capable of working with sensitive information with complete confidentiality.
High attention to detail and excellent organization skills.
Ability to work independently and possess a proactive, solution-oriented attitude.
Strong interpersonal and problem-solving skills.
Creative, innovative, resourceful, and adaptive to change.
