Position Description: The Business Assistant will play a key role in supporting the day-to-day operations of the company and assisting with various administrative tasks. This position requires a proactive and detail-oriented individual who is capable of multitasking and working effectively in a fast-paced environment. The Business Assistant will work closely with members of the management team and other staff to ensure the smooth functioning of the business.

    Title: Business Assistant

    Location: San Antonio, Texas

    Reports to: Regional Director - East/West

    Job summary:

    Vighter LLC is seeking a detail-oriented individual who is capable of multitasking and working effectively in a fast-paced environment. The Business Assistant will work closely with members of the management team and other staff to ensure the smooth functioning of the business.

    Principle Accountabilities:

  • Provide administrative support to the management team, including scheduling appointments, arranging meetings, and managing calendars.

  • Prepare and organize documents, reports, presentations, and other materials for meetings and presentations.

  • Assist with project coordination and management, including tracking progress, managing timelines, and coordinating communication among team members.

  • Handle incoming calls, emails, and inquiries, providing information and assistance as needed or directing inquiries to the appropriate person.

  • Coordinate travel arrangements, including booking flights, hotels, rental cars, and other accommodations, and preparing travel itineraries.

  • Assist with event planning and coordination, including scheduling and coordinating logistics for meetings, conferences, and special events.

  • Maintain organized and up-to-date filing systems, both electronic and physical, ensuring easy access to important documents and records.

  • Assist with financial tasks, such as processing invoices, tracking expenses, and reconciling accounts, using accounting software or spreadsheets.

  • Conduct research and gather information as needed for various projects, reports, and presentations.

  • Collaborate with team members and other departments to support the overall goals and objectives of the company.

    Requirements:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.

  • Minimum of 2-3 years of experience in administrative support or office management.

  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office equipment and software.

  • Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, clients, and staff.

  • Proactive and self-motivated, with the ability to work independently and prioritize tasks effectively.

  • Strong organizational and time management skills, with the ability to multitask and meet deadlines in a fast-paced environment.

  • Attention to detail and accuracy, with a commitment to producing high-quality work.

  • Experience in business administration, project coordination, or event planning preferred.

    Physical Requirements :

  • Must be able to sit for more than 8 hours per day.

  • Must be willing to work overtime if necessary.

  • Must be able to use an elevator or walk up and down stairs.

  • Must be able to lift up to 40 lbs. and carry up to 10 ft.

  • Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.

  • Must be able to read and interpret handwritten and typewritten print.

  • Must be able to communicate by voice and detect sound by ear.

  • Must be able to perform duties in an indoor or outdoor environment.

  • Must be able to pass a criminal background investigation.

  • Must undergo urine drug testing.
