Description
Our client is a leading construction company and is seeking a dedicated and detail-oriented Administrative Assistant to join their team and support the smooth operation of our business.
Key Responsibilities
As an Administrative Assistant, you will play a vital role in our company’s operations by performing various administrative and clerical tasks. Responsibilities include but are not limited to:
Office Management: Maintain a well-organized office environment, including managing supplies, scheduling maintenance, and ensuring a professional workspace.
Documentation: Prepare, review, and distribute documents such as contracts, project proposals, and meeting minutes.
Communication: Act as the first point of contact for clients, vendors, and subcontractors by handling phone calls, emails, and inquiries.
Scheduling: Coordinate meetings, appointments, and project timelines for the team.
Data Entry: Update and maintain databases, including project schedules, budgets, and employee records.
Support: Assist in preparing presentations, reports, and correspondence for management and project teams.
Compliance: Track and file licenses, permits, and insurance documents to ensure compliance with regulatory requirements.
Requirements
Proven experience as an administrative assistant, office manager, or similar role (construction industry experience preferred).
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with project management software (e.g., Procore, Buildertrend, or similar).
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to multitask, prioritize, and work independently in a fast-paced environment.
High school diploma required; an associate degree or higher is preferred.
