PURPOSE OF THE JOB

The purpose of the paralegal is to provide paralegal assistance to the Legal Department and may assist in training other legal staff. This position exists to ensure the company is compliant with state law, legal matters are properly addressed, and contracts and other legal documents are correctly stored and maintained.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Performs corporate secretarial function and gathers materials for meetings and filings as needed.

  • Prepares and collects materials for Company Board Meetings.

  • Prepares and files all jurisdictional qualifications to do business, and related entity and corporate governance items for all companies.

  • Manages biographical affidavits as needed for insurance companies.

  • Maintains entity record books.

  • Prepares and follows up on state admission filings.

  • Researches regulatory requirements for filings and contacts (written and oral) with the applicable department of insurance regarding requirements and other issues.

  • Gathers signatures and provides notarization of documents.

  • Maintains corporate equity information in online system.

Oversees the maintenance of corporate documents and certificates.

  • Maintains document files in the legal department.

  • Prepares and sends Nondisclosure Agreements (NDA) to third parties.

  • Maintains all Certificates of Authority for all insurance companies.

  • Maintains licensing for certain corporate entities and/or designated employees.

Performs litigation administrative duties.

  • Maintains litigation files.

  • Provides administrative support for subpoenas and complaints received.

  • Assists with submitting pleadings and subpoena responses, as necessary.

  • Assists with processing of department invoices, including via e-billing system.

  • Tracks time devoted to each case when applicable.

  • Supports attorneys with administrative duties such as typing, photocopying, mailing, and filing.

SUPERVISORY RESPONSIBILITIES

This role does not have supervisory responsibilities.

EDUCATION AND EXPERIENCE

Bachelor's degree from four-year college or university preferred with a major or emphasis in Business Administration, Management, or related field. Minimum 2-5 years related experience and/or training, or equivalent combination of education and experience.

CERTIFICATES, LICENSES, REGISTRATIONS

Paralegal certificate from an accredited program preferred. Notary Public certification required but can be obtained after hire.

KNOWLEDGE AND SKILLS

Proficient in use of Microsoft Office products and department matter management system. Ability to read, analyze, and interpret general business or legal periodicals, professional journals, and government regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Strong organizational skills and attention to detail.

PHYSICAL REQUIREMENTS

Office environment – no specific or unusual physical or environmental demands and employees are regularly required to sit, walk, stand, talk, and hear.

WORK ENVIRONMENT

This position operates in an office environment and requires the frequent use of a computer, telephone, copier, and other standard office equipment.

The current range for this position is

$28.38 - $44.75

This range is exclusive of fringe benefits and potential bonuses. If hired at ICW Group, your final base salary compensation will be determined by factors unique to each candidate, including experience, education and the location of the role and considers employees performing substantially similar work.
