Additional Information: This hotel is owned and operated by an independent franchisee, Wintime Limited. The franchisee is a separate company and a separate employer from Marriott International, Inc. The franchisee solely controls all aspects of the hotel’s employment policies and practices, including hiring, firing, discipline, staffing, compensation, benefits, and all other terms and conditions of employment. ATTENDANCE:

STANDARD HOURS: Monday – Friday; 8:30 am – 5:00 pm. Days/times may vary based on hotel/event needs.

• Must be able to work some evenings, weekends, and holidays to oversee event execution and be on-site Hotel contact.

• Manager on Duty shifts may be required to provide Sales support and coverage during Sports Tournaments and events.

• Must comply with attendance rules and be available to work on a regular basis.

ESSENTIAL FUNCTIONS:

• Act as Liaison between Director of Sales (DOS) and clients in DOS’ absence. Answers telephone and respond to caller inquiries and/or direct to the applicable person or department. Takes booking inquiry information and forwards to DOS for completion.

• Communicates with DOS regarding daily activities, projects and leads.

• Verifies site tour rooms daily; greets all group and individual tours and prepares welcome bags for group VIPs and on-site contacts.

• Completes weekly Internet prospecting to include google, business journals, local newspapers, etc. Submits report to DOS.

• Daily review of Morning Reports for potential VIP's, sales leads, inaccuracies, inappropriate coding, etc. Complete all tasks discussed during the review of these reports.

• Handle individual reservations for VIP clients and groups. Ensure that all arrangements, including billing and upgrades, are handled properly, coordinating with other departments through oral and written instruction.

• Use various computer word processing and other software packages to enter data, merge contracts, Preferred Rate Agreements, banquet event orders, proposals, contracts, correspondence, forms, memorandum, and other documents.

• Serves as AM Lobby Lizard or Manager’s Reception hostess, as assigned.

• Provides support and/or relief to Front Desk staff and F&B staff, as required.

• Participates in monthly volunteer activities.

• Coordinates all "turnover" group and Catering events to include updating clients on pick up and cut-off date information, producing banquet event orders and resumes, entering rooming lists, processing advanced deposits and final charges.

• Oversees all Catering events, to include distributing Banquet Events Orders, verifying events set up prior to group’s arrival, ensuring proper a/v set up and supervision food and beverage functions – until food is dropped.

• Manages groups in Fosse and STS (build group blocks, enter rooming lists, manage authorizations). Review group blocks and send out pickup reports. Discuss with DOS and make all necessary adjustments, to include release of block, reduction of block, extension of cut-off date, and increase of block as appropriate.

• Review groups with approaching arrival to confirm all information is correct (payment method, arrival, and departure dates, unused rooms released back into system, etc.)

• Check in with Front Desk to discuss VIP's and groups arriving and any other necessary communication to better assist them in performing their duties. Review guest/group needs prior to departure each day.

• Assists with coordination of monthly client appreciation events. Attendance required.

• Organize, file and retrieve documents in appropriate binders in order to maintain essential records used in the department operation. Maintains trace file system in daily.

• Completes weekly Sales Funnel.

• Completes end of the month reports, as assigned.

• Performs special projects and other responsibilities, as assigned.

EDUCATION/EXPERIENCE: High School Diploma required. Some college coursework preferred. Minimum 1 year of Hotel Sales & Catering department or previous administrative experience preferred.

LANGUAGE ABILITY: Strong presentation skills including effective communication with various constituent groups, including an ability to inter-relate to ownership, clients, vendors, the public, executive committee, sales and marketing team members and the entire property community. Professional working proficiency in English required.

MATH ABILITY: Ability to add, subtract, multiply, and divide in all units of measure.

REASONING ABILITY: Ability to apply common sense understand to carry out instructions furnished in written, oral, or diagram forms. Ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER SKILLS: Intermediate knowledge of FOSSE, MGS, Marsha, and Microsoft Office preferred.

The published salary range for this position represents a good-faith estimate based on the qualifications we expect to find in a successful candidate. The actual compensation offered may be less or greater than this estimate based on various factors.

The hourly pay range for this position is $18.00 to $22.00.
