Hourly Pay Range (Minimum - Midpoint - Maximum):

$20.250 - $24.050 - $28.860

The stated pay scale reflects the range that Sharp reasonably expects to pay for this position.  The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices.

What You Will Do

Under minimal supervision performs a variety of clerical and general office activities. Accurately completes assignments and follows through within designated time frames. Supports harmonious internal and external working relationships.

Required Qualifications

  • H.S. Diploma or Equivalent

  • 2 Years experience as a secretary utilizing word processing and data entry systems.

Essential Functions

  • Data entryRegisters Volunteer information into Agility.TB test/vaccine record faxed in; Scan, log in visit, and put in LVN waiting area.Performs Agility employee searches.Ensures all necessary paperwork is complete and scanned according to Agility Scan Plan.

  • Performs general clerical dutiesRecords and distributes staff meeting minutes. Answers telephone by the third ring, screens calls and directs as appropriate. Takes messages with accurate and appropriate detail.Prints and distributes Pending list for NP daily and LVN on Tuesday.Distributes and sends mail daily.Communicates consistently in a professional and courteous manner to all customers/contacts.Assists System Specialist with projects as requested.

  • Professional developmentAttends training pertinent to building office skills or other area pertinent to role in EOHD.

  • Receptionist dutiesPerforms receptionist duties: greeting employee when they arrive, instructing employee to complete appropriate paperwork. Notifies employee of estimated waiting time. If waiting is longer than anticipated continues to keep employee informed.Coordinates with staff to ensure smooth clinic operations.Aware of clinician's availability, for when employees are waiting.Fosters good communication and teamwork.

  • Record managementMaintains workflow through the department. Informs practitioners and nursing staff when patient's chart and paperwork is ready.Request Records from archive as needed.Pull chart (paper) if onsite, if previous records are not in Agility.Maintains medical records for department ensuring that confidentiality is maintained. Ensures records are updated with all necessary paperwork in a timely manner.Alerts staff/supervisor to work flow problems. Alerts supervisor of sensitive issues in a timely fashion.

  • SchedulingVerify contact information for employee is accurate and refer to HR if corrections are needed prior to their appointment. Agility may be updated during the visit to ensure all necessary paperwork prints with correct information until HR makes changes. Schedules appointments accurately using Agility.Schedule appointments to best meet client's preference, i.e. time, location. Schedule using centralized scheduling, schedule at alternate location via Agility rather than referring phone call to alternate site.Keep HR informed via SharePoint of appointment status.Notify supervisor if schedule booked so that first available appointment is greater than 1 week.
