General Summary:

The Events & Experiences Coordinator plays a unique role in internally supporting HR, DEI, and Executive stakeholders in both in-person and virtual events as needed. This role’s primary focus is to ensure that internal event goals are met operationally. The coordinator collaborates across departments to prepare, support, and streamline internal event processes. Responsibilities include initiating draft proposals, creating agendas, developing presentations, and planning.

Additionally, the coordinator closely collaborates with partners such as Employee Communications and QREF to execute efforts in events programming. They provide project management, administrative, logistical, and hands-on support for a portfolio of in-person and virtual events of varying sizes and scopes. Working with a broad range of internal and external stakeholders, the coordinator ensures event goals are achieved.

Qualifications and Core Competencies:

  • Experience : Candidates will ideally have 10+ years of professional experience , with a strong preference for supporting C-Level events and prior hands-on event experience.

  • Project Management and Organizational Skills : Demonstrate ability to manage multiple tasks and competing deadlines seamlessly. Attention to detail is crucial, while still keeping the big picture in mind.

  • Effective Collaboration : Demonstrate effective collaboration in a matrix or highly cross-functional business environment.

  • Interpersonal Skills : Build strong relationships with both internal and external stakeholders. Candidates will be responsible for creating and implementing processes, ensuring adherence, and proactively addressing and prioritizing problems.

  • Design Acumen : Possess basic skills in creating collateral using programs like Microsoft Suite .

  • Communication Skills : Excellent written and oral communication skills are essential as the setting at times can be fast-paced circumstances.

  • Innovative Mindset : Be highly self-motivated, service-oriented, and eager to learn. Be adaptable in a rapid changing environment.

  • Event Planning Experience : Must have experience in corporate event planning , including managing budgets, venue sourcing, contracting, registration, housing, ground transportation, audio/visual setup, reporting, and virtual event platforms.

  • Travel : Be willing and able to travel within San Diego as needed.

Role Responsibilities:

  • San Diego Event Management :

  • Assist in managing in-house HR events in San Diego, including executive events.

  • Collaborate with agencies and act as a link between stakeholders.

  • Assist with date selections, room choices, timings and run of show.

  • Venue Management :

  • Work closely with the QED team on the venue room booking system.

  • Correspond with clients regarding setup and attendee numbers.

  • Logistics Coordination :

  • Arrange catering, AV equipment, security, and overall event administration.

  • Support for External Venues :

  • Provide additional support as needed.

  • Attend Planning Meetings and Room Tours :

  • Be present as needed.

  • Assist with Planned Events :

  • Handle events from start to finish throughout the year.

  • These internal events vary in size, groups, venues, and attendees.

  • Logistics Oversight :

  • Direct the logistics of event planning, implementation, and follow-up.

  • Includes various aspects of event coordination:

  • Invitations : Manage guest list production, communications, and tracking RSVPs.

  • Registration and Seating Charts : Ensure smooth registration processes and organize seating arrangements.

  • Vendor Contacts : Coordinate with vendors for event setup and breakdown.

  • Thank You Letters : Write and send thank-you letters to guests.

  • Feedback and ROI Analysis :

  • Evaluate individual events, comparing year-to-year and event-to-event effectiveness.

  • Confidentiality :

  • Safeguard all event data, including sensitive information related to guests and stakeholders.

  • Additional Duties :

  • Perform other related tasks as assigned.

Pay range:

$80,500.00 - $120,500.00

The above pay scale reflects the broad, minimum to maximum, pay scale for this job code for the location for which it has been posted. Even more importantly, please note that salary is only one component of total compensation at Qualcomm. We also offer a competitive annual discretionary bonus program and opportunity for annual RSU grants (employees on sales-incentive plans are not eligible for our annual bonus).
