Insight Global Administrative Assistant/Office Manager in San Francisco, California

Job Description

Insight Global is seeking an Administrative Assistant for a 3-month contract to cover and employee on leave. A large focus of this position will be on coordination and oversight of administrative projects for the organization. This position is a key culture carrier, creating a trustworthy source of support for our executives and their assistants. Specific duties of this role, include:

Administrative Projects: Work with C-level executives and their assistants on administrative projects and assignments, developing timelines and ensuring tasks are met. Some examples include (but are not limited to) preparing corporate decks & materials, documenting policies and processes, researching and onboarding external vendors, etc.

Coordination of departmental summits, events, and client dinners. Serve as an internal resource to summit organizers and executive assistants in preparations for meetings summits and events.

Backup Coverage & Assistance: serve as a back- up coverage to executive assistants and office managers during breaks and absences.

Heavy scheduling and calendar management

Organize and manage domestic travel arrangements

Process detailed expense reports on monthly basis

Assist with task follow-up and meeting note taking by request.

Assist with other general administrative support duties as assigned.

Skills and Requirements

5+ years of administrative support experience

Experience with executive calendaring and scheduling meetings

Proficiency with Microsoft Office: Outlook, Word, Excel, PowerPoint

High levels of initiative, organization, and reliability

Must be comfortable working onsite in the San Francisco office 5 days/week Office Management experience null
