Robert Half Receptionist in Santa Clara, California

Description We are seeking a dedicated Receptionist to join our team in Santa Clara, CA. In this role, you will be the first point of contact for visitors, customers, and employees. You will be responsible for managing the front desk operations, coordinating conference room scheduling, and assisting with special projects. The ability to handle high volume interactions and maintain an organized workspace is essential for this position.

Responsibilities: • Open and close the corporate lobby to prepare for visitors, employees, and activities. • Act as a building concierge to all visitors and employees. • Handle all visitor pre-registration requests and ensure compliance with our NDA and CTPAT requirements. • Update and maintain corporate resource binder to ensure accuracy of information. • Organize and coordinate conference room scheduling, room resourcing, room reservations, and special conference room projects. • Collaborate with cross-functional teams on special projects for critical events. • Assist with New permanent orientation by providing the employee experience and help with orientation room setup. • Maintain visitor badge inventory information and reorder supplies as necessary. • Assist with coordinating events, projects, and service requests as needed and understand facilities and security operational expectations to deliver the right content and services to employees and visitors. • Act as an extension of Security and keep open communication with internal GSOC. Requirements • Proficiency in customer service and communication • Familiarity with office operations and procedures • Experience in scheduling and calendar management • Ability to provide workstation support • Knowledge of receptionist duties and responsibilities • Understanding of security measures in an office environment • Expertise in facility management and maintenance • Proficiency in Microsoft Office Suites • Experience in reservation systems and procedures • Ability to lead special projects and ensure their accuracy • Experience in handling visits and providing concierge services • Experience in visitor management and reception • Willingness to undergo training courses to enhance knowledge base • Ability to manage service requests efficiently • Experience in prescreening and reordering procedures • Experience in coordinating events • Ability to participate in photoshoots for company events • Proven experience in a similar role is a plus.
