Robert Half Jr Administrative Assistant in Santa Monica, California

Description

A start-up in Santa Monica is looking for a Jr Administrative Assistant to join the team on a contract-to-hire basis. This is a fully onsite position in Santa Monica. As the Jr Administrative Assistant, you will assist with customer service, marketing, and operations. Duties include:

Customer Service:

• Assist in responding to the basic customer inquiries via email and online.

• Assist in returning phone calls that came in over the weekend.

• Ship materials to customers, including a promo sheet for the finance department for tracking purposes.

Marketing/Sales:

• Respond to social media comments, Direct Messages (DMs), and posts.

• Support Marketing Department by finding content on social media platforms, rating, and organizing it in our ShareFile.

• Train to support the Office Manager and Marketing Coordinator/Manager on day-to-day operations and projects.

Operations:

• Follow proper procedure for answering the door, signing for packages, checking the mail daily, greeting guests, and logging packages.

• Assist with inventory counts for supplies & promotional items at our office.

• Complete expense reports.

• Basic office duties and errands. (Pick up lunches, finalized printing jobs from Printing Palace, make copies etc.)

• Lift boxes weighing around 30 pounds and pack/ship product to send to warehouse (as needed)

The ideal candidate will hold a bachelor's degree along with relevant internship experience. Experience in MS Suite, including Excel and PowerPoint is required. This is a great opportunity to grow and learn from an established ecommerce company. Hours are Monday - Friday from 9-5PM. Pay is $20-22/hr, depending on experience.

Requirements • Proficiency in using Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook

• Experience with Accounting Software Systems and ADP - Financial Services

• Familiarity with accounting functions such as Accounts Payable (AP) and Accounts Receivable (AR)

• Ability to manage billing functions efficiently

• Strong customer service skills

• Experience in managing office operations and administrative tasks

• Ability to multitask and prioritize tasks as per business requirements

• Excellent communication and interpersonal skills

• Strong organizational and time management abilities

• Ability to work independently and as part of a team

• Problem-solving skills and ability to make decisions under pressure

• High attention to detail and accuracy

• Proven leadership skills and ability to supervise and guide team members if needed

• Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
