Responsibilities

::: {#win0divHRSSCHWRKDESCR100grp$1} ::: {#win0divHRSSCHPSTDSCDESCRLONG$1} The Accounting Representative is responsible for supporting accounting activities for The Ringling Museum of Art; performing accounts payable activities; ensuring payment activities are in compliance with state and University policies and procedures; maintaining vendor files; and providing back-up assistance to other positions in the Accounting department. Typical responsibilities include:

  • Payment of invoices, verifying that the items are charged to the correct department, account, fund codes and chartfields. Ensures that all documentation to support requested payments are verified, including matching invoices with approved purchase orders and receipts. Ensures payments are in compliance with prompt payment, and other applicable policies and procedures.
  • Produces Ringling Foundation payments including creation of checks, obtaining check signatures, and mailing. Processes utility payments and other electronic payment requests. Assists with refund and foreign vendor payment requests.
  • Oversees the receipt, date stamping and routing of incoming invoices, billings and statements for all funds. Daily retrieves invoices from the FSU document management system and the mail.
  • Maintains vendor information, including W-9s, in the Financial Edge software system; adds, merges, deletes, and changes vendors addresses and names as needed. Conducts annual review of vendor files; ensures that records are current and correct. Maintains the paid invoice file. Retrieves paid invoices and other information requested by staff and auditors. Files annual Ringling Foundation 1099 forms.
  • Provides feedback and makes recommendations to management regarding processes, policies, and procedures for the purpose of improving efficiency, accuracy, and compliance. Assists with data collection for ad-hoc and recurring reports. Compiles and analyzes financial data, prepares detailed financial reports, and provides budget and/or accounting related recommendations to management for decision making processes.
  • Coordinates with the Program Director of Budget and Finance to create the quarterly Chiller Plant billing invoice.
  • Opens, date stamps, and distributes Accounting department's mail. Serves as back-up for making weekly deposit into the Ringling Foundation bank account using computer scanner. Assists with cash office operations. Serves as a back-up for others in the Accounting department for any necessary budgetary functions and other fiscal related duties as needed. Performs other duties as assigned that support the department and operations of the museum.

Skills important to this role include:

  • Generally Accepted Accounting Principles (GAAP)
  • Applicable computer applications and basic computer functions to include Microsoft Excel

  • Bachelor's degree or a combination of post high school education and experience equal to four years.
