The Allen School has an outstanding opportunity for an Assistant Director of Advising.

The Assistant Director for Advising is responsible for the overall management of advising services as well as many aspects of the first-year experience in the Allen School. They, along with their team of eight advisers and an advising assistant, provide direct advising services for all 2100+ Allen School undergraduate students from their first year through to graduation. Important aspects of the work include developmental, learning-centered advising, attention to detail, and frequent contact with the University's administrative system. Beyond the interpersonal one on one student work associated with this position, it also provides broader leadership and direction for supporting students throughout their experience in the Allen School and mentoring their staff.

The AD will provide direct supervision of three employees and mentorship/guidance for an advising staff of 9 with a wide range of experience levels. In collaboration with the Director of Undergraduate Student Services, frequently involved in high-level decision-making around programs, policies and procedures that impact the Allen School undergraduate student population. The AD position involves substantial collaboration and coordination with various academic and administrative units on campus, in other institutions, and in the community.

DUTIES AND RESPONSIBILITIES Strategic Planning & Leadership

  • In conjunction with the Director of Student Services help establish vision, create policies, and make funding decisions.

  • Actively contribute to the Undergraduate Student Services leadership team as a whole.

  • Communicate, and execute overall vision for Allen School undergraduate advising team.

  • Determine levels and types of advising services to offer on a quarterly basis and facilitate implementation accordingly.

  • Design and conduct regular assessments of advising team effectiveness and impact through creating and conducting student surveys and feedback sessions, and implementing changes accordingly to position the team for increased success.

  • Provide direction for academic advising learning outcomes for Allen School students and implement an assessment plan to determine achievement of the outcomes. Establish metrics to ensure that programs are addressing and making progress to achieve objectives.

  • Compile an annual report of advising data that includes utilization of advising services, learning outcomes, satisfaction information and student engagement activities and accomplishments for the Director and Allen School Leadership in order to support current operations.

  • Collaborate frequently with UAA, OMAD, the Robinson Center, the University Honors Program, etc. to ensure thoughtful, holistic programming for students.

  • Build relationships and work collaboratively with all Allen School internal partners to improve advising services and outcomes, particularly frequent partners such as the Diversity & Access team, Graduate Student Services team, Director of External Relations, Allen School Mental Health Counselor Liaison and Allen School Faculty.

  • Help the advising team evolve and adapt to meet the needs of a growing and increasingly diverse student body and evolving world of computer science work.

  • Develop strong communication and collaboration with the Office of Financial Aid and serve as Allen School Emergency Fund coordinator to facilitate discussion with USST leadership and Allen School Leadership to determine appropriate use of funds and ensure timely distribution to students in need.

  • Provide vision and direction for a timely advising communication plan for Allen School students.

  • Analyze program effectiveness, track student success and make adjustments and improvements to programs as needed to maintain a high quality of advising as demonstrated by student graduation rates and survey feedback

  • Researching and implementing advising best practices such as keeping up to date on current research and connecting with other programs to bring new ideas to the team for enhancing the comprehensive advising experience.Supervisory Responsibilities:

  • Supervise three advising and retention staff, including two Lead Advisers and a Front Desk Coordinator & Advising Assistant.

  • Perform annual performance evaluations of staff.

  • Provide specific advising mentorship and direction to the Leads to establish and support a proactive, thoughtful, advising community.

  • Meet with Leads regularly to establish advising schedules, plan projects, determine roles and responsibilities, set timelines, monitor progress, and share/receive feedback.

  • Develop content and lead annual and quarterly retreats for full advising staff to discuss progress meeting yearly goals and make changes that will improve experiences moving forward.

  • Continuously evaluate services and re-assign duties or initiate new services as needed to meet organizational goals.

  • Co-Lead advising team meetings with team leads and ensure that action items are matched to staff and completed in a timely manner.

  • Meet weekly with the Front Desk/Advising Assistant to assess workload, work through questions, mentor and problem solve.Direct Advising & Student Support

  • Manage Retention outreach programming which includes:- Preparing reports on student progress for the Retention Committee.- Establishing communication needed to both faculty and students with outcomes of committee meetings.- Following up with Escalated Probation cases.- Compiling data for outreach to Students of Concern.- Managing advising feedback on Students of Concern to ascertain patterns/themes to report up to the Director of Student Services and Undergraduate Program Faculty Chair.- Co-managing the Enrollment Criteria Petition process with Lead Advisers.- Monitor UW Graduation requirements and criteria to ensure proper training of advising staff and policy development to ensure student compliance.

  • In collaboration with the Director, provide feedback and documentation that will help inform changes to the Retention, Continuation, and Reinstatement Policies to better meet the needs of the students and the School

  • Serve as the main point of contact for clarifying questions from the advising team.Consult with Faculty on individual student cases and provide support and recommended pathways forward.

  • Respond to daily questions from faculty and triage challenging student situations amongst assigned advisers.

  • Coach assigned advisers on outreach and strengths-based advising to students who are on warning, probation, or who are not meeting continuation requirements.

  • May manage a caseload of students during peak times or during changes to the advising team.When short-staffed or during busy times, this position will support the advising team and reduce impact to students by:- Responding to student questions via various messaging mediums, taking student appointments, and hosting various student presentations.Faculty Consultation and Assessment - Student Issues

  • Advise faculty who seek support for students of concern.

  • Determine best practices to follow up for each individual situation

  • Engage various offices on campus to assist depending on severity of the situation

  • Help faculty develop a plan moving forward on how to respond to each incidence

  • In conjunction with the Director of Student Services - meet with new faculty and provide orientation before teaching their first undergraduate class.Programmatic Responsibilities

  • Manage quarterly Registration periods by ensuring proper communication with faculty teaching and update for students regarding any curricular changesCommunicate across the team and to the student population any curriculum changes that could affect them.

  • Serve as a contributing member of the Allen School Curriculum committee by: providing feedback from advisers and students on current curricular challenges, and in conjunction with the Director of Student Services providing counsel to the committee on new proposals, and advocate for change to improve the student experience.

  • Serve as technology lead for the Advising Team specific tools, including selecting new tools when a need arises and maintaining functionality of current systems in addition to making adjustments to current systems. Currently these programs include: Acuity Appointment scheduling, OTRS email management systems, CSE in-house database and tools, and multiple advising discussion boards.

  • Provide direction to the Leads on vision-setting for and implementation various programming: Transfer Programming, Current Student support programming, Exchange programming, Peer Adviser programming, Tutoring, Study Center etc.

  • Maintain complete electronic files for program evaluation purposes, and prepare reports as necessary on assessment, academic progress, program activities, etc.

  • Work with the Director of Communications to keep websites up-to-date and accessible to current and future Allen School Students.

  • Serve on the Scholarship Committee as student perspective representativeOther duties as assigned by the Director of Student Services. MINIMUM REQUIREMENTS

  • Bachelor's Degree in Education, Psychology, Humanities, or related field.

  • At least four years of Advising, Student Counseling, Career Counseling, or related experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience supervising staff, preferably in a counseling, coaching, or advising setting

  • Demonstrated experience in creating academic student support programs.

  • Demonstrated ability to supervise several personnel and projects effectively.

  • Excellent relationship building and interpersonal communication skills, including experience working with individuals from diverse backgrounds.

  • Excellent verbal and written communication skills.

  • Excellent organizational skills and a demonstrated ability to multi-task, prioritize work, and manage heavy workloads with frequent interruptions.

  • Proficient with computers, including experience working with databases, Google Documents, Microsoft Office, e-mail and Internet systems. DESIRED QUALIFICATIONS

  • Leadership and management experience in an agency, program or work unit addressing student services.

  • Knowledge and familiarity with University of Washington policies and regulations relating to academics and advising.

  • Masters degree in student affairs or similar programming.
