The School of Art + Art History + Design has an outstanding opportunity for an Assistant to the Director.

The School of Art + Art History + Design (SoA+AH+D) engages and educates students in essential issues of visual history and literacy, the creative process, visual communication, and innovative and socially responsible design. We are in need of someone with skill, intelligence and tact to support the School’s Director and manage faculty affairs in the challenging years to come. In this role you will report to the Director of the School and be responsible for complex academic personnel operations as well as direct executive support to the Director. In a School that includes 40 permanent faculty members, 24 staff members and 20 temporary faculty engaged in teaching approximately 600 undergraduate and 60 graduate students. The individual in this position exercises independent judgement and discretion in work directly related to faculty management policies and business operations and has delegated authority to make commitments that affect operations related to faculty affairs.

DUTIES & RESPONSIBILITIES Faculty Affairs (45%) The Assistant to the Director oversees all faculty affairs within SoA+AH+D. This position manages the full faculty life cycle, communicating with division chairs regarding protocol, policies, and timelines associated with faculty management, providing advice and direction to the Director and divisions as needed. This position is responsible for maintaining the faculty personnel files according to University record retention policies.

Administrative Duties (45%) The Assistant to the Director provides high-level executive administrative support to the Director of the SoA+AH+D - maintaining the confidential calendar of the Director and Associate Director, composing and drafting reports, letters, memoranda, and proofread outgoing correspondence to ensure seamless daily operation of the Office of the Director. This position manages quarterly departmental meetings (including presenting on occasion, coordinating logistics for guest speakers, and taking/disseminating minutes to School community) and is an active, participating member of the School’s Executive Council. The Assistant to the Director will work with the Director and Administrator to develop and implement policies and procedures in support of the School’s mission and goals and serve as a campus liaison for external partners.

Supervisory duties (5%) This position supervises one full-time administrative assistant position. It is responsible for any recruiting, training, mentoring, and disciplinary action if needed.

Other duties as assigned (5%) MINIMUM REQUIREMENTS: • Bachelor’s Degree • 3 Years increasingly complex experience in HR management in education, government or not-for-profit

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS: • Familiarity with online meeting resources (for example, Microsoft Teams and Zoom). • Ability to communicate clearly both in writing and verbally. • Ability to independently manage multiple responsibilities under pressure and remain highly adaptable to changing priorities in a high-volume academic setting.
