Robert Half Facilities Coordinator in Seattle, Washington

Description We are seeking a diligent Facilities Assistant in Seattle, Washington. This role involves managing various facility services, coordinating space management, and collaborating with multiple teams to ensure a safe and functional environment for all staff. This is a short-term contract employment opportunity that requires strong management and customer service skills.

Responsibilities:

• Manage facility services such as cleaning, security, parking, and health and safety initiatives

• Coordinate space management activities, including office moves, desk assignments, and layout changes

• Collaborate with various teams to identify facility needs and manage necessary repairs and improvements

• Organize and track assets and inventory management related to supplies, materials, and equipment

• Oversee contract management of vendors to ensure services are delivered on time

• Assist with the preparation and maintenance of health and safety reports

• Liaise with building management to address any issues that may arise

• Respond to facility-related emergencies during and after business hours

• Implement short and long-term facility plans and strategies

Skills:

• Proficiency in CMMS, Management System, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook

• Experience with About Time, Conference Rooms, Construction

• Strong customer service and documentation skills Requirements • Proficiency in using CMMS (Computerized Maintenance Management System) for managing maintenance tasks and tracking work orders.

• Demonstrated ability to use Microsoft Office Suites, including Excel and Outlook, for data analysis, email communication, and document creation.

• Familiarity with About Time software for efficient time tracking and project management.

• Experience in managing conference rooms, including scheduling, setup, and maintenance.

• Understanding of basic construction principles and practices, particularly as they apply to facility maintenance and repair.

• Excellent customer service skills, with the ability to respond to requests promptly and professionally.

• Experience in preparing and maintaining documentation related to facility operations and maintenance activities.

• Knowledge of facilities management best practices and standards.

• Ability to work collaboratively with diverse teams and individuals at all levels of an organization.

• Strong problem-solving skills and the ability to make informed decisions quickly.

• Ability to handle multiple tasks and priorities in a fast-paced environment.

• High school diploma or equivalent educational qualification.

• Relevant work experience in a similar role or environment.
