JLL Property Associate in Seattle, Washington
As a Property Associate, you will be responsible for a variety of administrative functions on the property team. Additionally, you will provide accounting support and maintain positive relations between tenants, clients/property owners, and Jones Lang LaSalle (JLL) by delivering superior customer service. The Senior Property Manager role is based on-site. WHAT YOU'LL BE DOING Reviewing and coding invoices for accounts payable processing. Participating in training incoming team members, as needed. Assisting with accounts receivable activities, including preparing and distributing bills/statements, sending collection notices, and making manual billing adjustments. Monitor administrative spend, ensuring it stays within budget and identify cost reduction opportunities. Coordinating document management, including lease execution, distribution, and filing. Tracking notification requirements specified in leases to ensure timely distribution. Monitoring email, phones, and work order system, providing prompt and courteous responses and directing correspondence to the appropriate personnel. Assisting with estimates, obtain tenant approval, and follow up on work orders to ensure tenant satisfaction. Organizing and maintaining the general office, sorting and distributing incoming mail, preparing outgoing mail/packages, and organizing files. Preparing and distributing correspondence, memos, and reports. Maintaining accurate and organized physical and virtual filing systems. Updating employee, client, and customer contact databases. Coordinating conference room reservations. Organizing department lunches, meetings, events, and business travel. Managing building access requests for visitors and vendors. Tracking and ensuring accuracy of tenant and contractor certificates of insurance, ensuring compliance with defined standards. Monitoring expiration dates for certificates of insurance and provide advance notice of upcoming expirations. Assisting with compliance for management and engineering operations audits by preparing files and maintaining records. Participating in new tenant welcome and orientation programs and assist with move-in/move-out processes. Tracking and coordinating access card activation/deactivation as needed. Assisting in the development and implementation of property and employee manuals. Maintaining communication with maintenance, security, and building staff to ensure cleanliness and security of common areas. Documenting incidents of potential liability and forward information to risk management personnel. Gathering vendor W-9 forms and assist with new vendor setups. Assisting with property budget preparation and recurring reporting. Assisting engineers with recording and billing monthly utility meter readings. Assisting with vendor contract creation, execution, and tracking. Providing general administrative support as needed. Performing any other duties and tasks assigned. WHAT YOU BRING TO THE TABLE High school diploma is required, and a BA/BS degree is preferred. Minimum of 2 years of experience in commercial real estate or property team. Proficiency in Microsoft Office Suite and the ability to learn new programs and technology. Excellent oral and written communication skills. Strong attention to detail and organizational skills. Self-starter with the ability to manage multiple projects under pressure. Capability to work both independently and collaboratively within a team. Effective interaction with coworkers and internal clients at all levels and across multiple disciplines. Ability to calculate figures and percentages accurately. Problem-solving skills to develop practical and constructive solutions to challenges. Ability to adapt to change, make decisions with incomplete information, and handle uncertainty.
