Stony Brook Medicine (Stony Brook University Hospital) Staff Assistant II - Sleep Disorders Center - Includes Weekend Hours in Smithtown, New York
At Stony Brook Medicine the Staff Assistant in our Sleep Disorders Center functions as resource to patients by answering calls, scheduling Sleep Disorders Center intake and follow up physician appointments, as well as scheduling overnight Sleep Disorders testing. The Staff Assistant supports the physician staff members by confirming appointments and managing physician schedules. The Staff Assistant must have excellent communication skills. The Staff Assistant will need a working knowledge of insurance requirements and approval procedures to correctly manage patient appointments.
Duties of a Staff Assistant in the Sleep Disorders Center may include the following but are not limited to:
- Answer calls to the Sleep Disorder Center.
- Schedule new patient visit, follow-up clinic appointments and telehealth as well as the overnight Sleep Disorders testing for patients per protocols indicated by physician in the EMR.
- Forward patient calls to appropriate Stony Brook departments based on availability.
- Answer patient questions about insurance accepted by the Sleep Disorders Center.
- Confirm overnight testing appointments, check patient's current health and pre-visit testing status via phone using scripted pre-visit questions and explain procedures; schedule patients to ensure beds are filled to capacity.
- Check patient registration and pre-visit medical tests are in place for overnight testing appointments and prepare pre-visit paperwork for clinic and overnight testing.
- Review upcoming overnight testing schedule and assess the insurance authorization schedule.
- Call patients to reschedule appointments if necessary.
- Act as a backup for the front desk staff greeting, arriving and discharging patients. Check in arriving clinic patients via phone using scripted pre-visit questions to insure a minimum number of patients in the lobby. Greet patients at the door, check the arriving patient's temperature and show them into the exam room. Log in any caregivers who accompany patients to their appointments into a database.
- Accept electronic insurance co-pays, enter information into the scheduling system and work with physicians to schedule Sleep Disorders testing and follow-up appointments.
- Share responsibility for answering and monitoring the provider line by returning calls, scheduling appointments, sending medical records and documenting medical record requests.
- Service EMR generated messages for the Sleep Center Clinical Pool.
- Assisting with calling insurance companies to check patients' insurance approval for Sleep Disorders testing.
- Reviewing the H&P from clinic visits and printing requests for authorization based on documented comorbid conditions.
- Faxing requests for insurance authorization and monitoring incoming results.
- Faxing DME scripts to participating DME providers, documenting DME set up information and contacting patients with DME provider information
- Monitoring patient satisfaction, reviewing charts for compliance information, downloading and scanning patient CPAP compliance data into the EMR.

Required Qualifications:
- Associate's degree or, in lieu of an Associate's degree, at least 2 years of related medical office experience
- Competence with Microsoft Office
- Excellent customer service and communication skills
Preferred Qualifications:
- Bachelor's Degree
- 2 or more years of related medical office experience
- Excellent computer skills, experience with IDX scheduling and Cerner Power chart software

Prior to start date, the selected candidate must meet the following requirements:
- Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services
- Complete electronic reference check with a minimum of three (3) professional references.
- Successfully complete a 5 panel drug screen
- Successfully complete a Background Check investigation.
- Provide a copy of any required New York State license(s)/certificate(s).
