Residential R Supervisor
SUMMARY
Reporting to the Director of Property Management, the Residential Supervisor is responsible for the overall administrative support of the day-to-day operations of the rental home program and property management private homes clients of Spanish Peaks Mountain Club. The primary responsibilities of the Residential Supervisor are to register all members in the rental reservation program to ensure a smooth arrival and exemplary experience within the scope of their duties. This individual will become familiar with a complete overview of the rental home and private home programs, facilitated through a rotation between the front of house and back of house operation. This position is empowered to use their best business judgement to make decisions with respect to discounting lodging and providing any needed remedies and redress for members and guests in various situations to ensure 100% member and guest satisfaction.
ESSENTIAL FUNCTIONS
Supervise the activities of the member reservation experience, to ensure adherence to Spanish Peaks Mountain Club’s (SPMC) standards, policies, and procedures
Pre-register reservations in Jonas Club Management software and create welcome packets prior to member-guest arrival
Monitor inventory of rental homes, home supplies, and ensure proper allocation to enhance member-guest experiences while maximizing revenue
Answer incoming emails, phone calls, and/or radio requests, handle requests and/or forward to the appropriate internal or external partners, as needed
Perform market research and collect data to assist with assigning rental home rates in Jonas Club Management in accordance with policy and peak seasonal dates
Work closely with the housekeeping and property management teams to ensure all rental homes are prepared adequately and in a timely manner prior to member-guest check-in time
Ensure that all welcome materials are distributed accordingly
Review a member's experience with them by phone regarding their stay at Spanish Peaks within 72 hours after check-out
Maintain online rental profile accuracy with the aim of creating a personalized experience for each of our member-guests
Attend daily and as needed team and internal meetings
Ensure the SPMC team is familiar with all members’ homes in rental program, other services offered within the Club, and with partners, such as spa, dinning and selling techniques, Montage Big Sky hotel facilities, services, hours of operation, key personnel, special activities, functions in the hotel and to ensure proper follow up on all special guest requests
Maintain a keen understanding of the overall rental home and property management programs
Review and communicate with internal teams and stakeholders’ daily activities, including but not limited to, arrivals, departures, specific requests, and member-guests on-property itineraries and with the aim of delivering on all member-guests’ expectations
Satisfy all reasonable service requests with the upmost levels of confidentiality, discretion, and timeliness
Order, as necessary, rental home and property management home supplies and back stock
Assist member services with guest check-ins and as needed
Process third party billing requests for payment with accounts payable, as needed
Supervise rental home arrivals and coordinate resources required to meet all residential rental needs
Administer listings of rental home inventory on internal website, and schedule staging and professional photography for new inventory
Prepare daily reports noting and highlighting any discrepancies imperative for the operation to note
Identify and report property maintenance conditions and create work orders for all required repairs
Inspect rental home condition for all arrivals and audit in house and checked out rental homes daily
Learn the rental home portfolio, and unique characteristics of each home in the rental home program
Support Director of Property Management with associate meetings, training sessions, and recognition events
Perform other duties as assigned
QUALIFICATIONS
High school diploma or equivalent education required; Bachelor’s degree preferred
Minimum of 1 year of office work and/or previous guest reservations experience
Front Office experience highly preferred
Must possess a valid driver’s license
Must be willing and able to drive a Company vehicle to rental housing units in and around Spanish Peaks
Requires the ability to communicate in English, both verbal and written
Must possess intermediate computer skills (Word, Excel, Outlook, PowerPoint)
Ability to solve problems and make sound decisions based on SPMC practices and policies
Knowledge of hotel/resort operations preferred
Experience in a luxury hotel or private club preferred
Knowledge of Big Sky and Montana preferred
Previous experience in a private member only club is highly desirable.
Ability to multi-task in a high volume and fast paced environment
Strong interpersonal skills and strong sense of integrity
PHYSICAL REQUIREMENTS
Most work tasks are performed indoors. Temperature generally is moderate and controlled by building environmental systems but can vary with extreme cold in winter. Position requires grasping, writing, standing, sitting, walking, stooping, bending, climbing, communication abilities, and visual acuity. Talking and hearing occur continuously in the process of communicating with others. Individual must be able to stand and exert well-paced mobility for up to 4 hours in length. Length of time of these tasks may vary from day to day and task to task. Must be able to lift up to 15 lbs on a regular basis. Must have the finger dexterity to be able to operate office equipment such as computers, printers, touch-tone phones, and fax machines.
