Key Responsibilities:

  • Manage office operations, including scheduling, record-keeping, and supply management

  • Provide exceptional customer service as a receptionist, greeting visitors and handling phone calls

  • Coordinate meetings and events, including arranging facilities, equipment, and catering

  • Prepare and distribute meeting minutes and other important communications

  • Maintain and update resource materials for service line staff

  • Assist with administrative record keeping and data entry

  • Process office bills, invoices, and maintain financial records as needed

  • Support colleagues by training them on office equipment usage

  • Ensure compliance with HIPAA and confidentiality requirements

  • Contribute to office upkeep and maintain a pleasant working environment

  • Assist with program service authorizations and client tracking, if applicable

Education and/or Experience Qualifications:

  • High school diploma or equivalent certificate required

  • Associate's or bachelor's degree in human resources, social services, or related field preferred

  • 1-3 years of experience in clerical/administrative support or related field preferred

  • Advanced skills in computing, including databases, web browsers, email interfaces, and MS Office products highly desirable

  • Strong customer service skills and professional demeanor

  • Excellent verbal and written communication abilities

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)

  • Ability to multitask and prioritize in a fast-paced environment

  • Strong attention to detail and organizational skills

  • Adaptability and willingness to learn new technologies and processes

  • Valid driver's license, acceptable driving record, and current auto insurance required

  • Must successfully complete a background check, including criminal record, driving record, abuse/neglect check, and fingerprint check

  • Ability to complete New Hire Orientation and all required training, including annual Relias training
