Position: Administrative Coordinator Location: St. Paul, MN Job Id: 324214 # of Openings: 1 Administrative Coordinator, Doctor of Physical Therapy Program Position Overview: Concordia University, St. Paul (CSP) Doctor of Physical Therapy (DPT) program invites applications for the position of Administrative Coordinator. The Department of Physical Therapy is housed within the College of Health & Science, which is also home to diagnostic medical sonography associate programs and undergraduate programs in biology, chemistry, biochemistry, public health, and healthcare administration. The Administrative Coordinator will provide operational and administrative support primarily for the DPT program, but also for other programs within the College. This is a critical role as we're looking for someone that is capable of interfacing with faculty, staff, and students, while managing multiple ongoing projects. Hybrid Work: This position is eligible for remote work after an initial onboarding period. The hybrid nature will vary by semester and may require more in-person work surrounding specific events. In general, it is anticipated this position will be eligible for working from home for two days each week throughout the academic year. Key activities associated with this position include: Create and revise standard operating procedures and focus on continuous improvement within administrative procedures and operations. Support the DPT program admissions process and related activities. Support clinical compliance. Direct the daily workflow of the department and its administrative procedures. Essential Duties: Direct the daily workflow of the department and its administrative procedures. Provide administrative support for the Physical Therapy graduate program and other programs within the College of Health & Science. Activities include, but are not limited to, scheduling meetings, coordinating events, and maintaining shared resources (spaces, accounts, and supplies Support and facilitate activities related to clinical compliance requirements. Activities include, but are not limited to, affiliation agreement coordination, facilitation of student background checks and online trainings, clinical compliance software management, and collecting relevant student and faculty documentation. Develop, implement, evaluate, and revise administrative systems, procedures, and recordkeeping related to student admissions. Activities include, but are not limited to, applicant tracking, coordination of interview days, accepted students' documentation, and assisting with onboarding of new students into the program. Develop, implement, evaluate, and revise administrative systems, procedures, and recordkeeping related to faculty and academic content. Activities include, but are not limited to, professional development funds tracking/monitoring, communication of faculty contracting to Human Resources, and volunteer patient coordination. Work to create and maintain a repository of administrative processes to be utilized by current and future faculty, staff, and students. Utilize knowledge and understanding of underlying operational issues to assist in administrative problem solving. Other duties as assigned. Education and Experience: Commitment to the mission and values of a Lutheran University Bachelor's degree required; master's degree preferred Preferred: 5 years of previous experience in a higher education administrative setting Competencies: Excellent oral and written communication skills. Ability to manage multiple ongoing projects and successfully meet deadlines. Proficiency with Microsoft Office, including Word and Excel. Preferred: Proficiency with Exxat and/or willingness to learn new technologies associated with program needs. Ability to handle all activities and confidential information with patience, discretion, tact, and a keen eye for detail while working with people from a wide variety of backgrounds.
