WomenVenture Client Experience & Intake Specialist in St. Paul, Minnesota

Position Summary The Client Experience and Intake Specialist serves as the initial point of contact for clients reaching out to WomenVenture. This role is pivotal in ensuring clients are warmly welcomed, their needs are accurately assessed, and they are efficiently guided to the appropriate services either within the organization or with an external partner. Additionally, the Specialist will contribute to the organization's Client Experience (CX) strategy by undertaking various project tasks to enhance overall client satisfaction and service delivery. Core Duties: Client Intake and Assessment: Serve as the first point of contact for prospective and existing clients through phone, email, and in-person interactions. Record intake interactions within our client relationship management (CRM) system. Conduct initial intake assessments to understand the client's needs, goals, and eligibility for WomenVenture services. Provide detailed information about WomenVenture s programs, services, and resources. Client Guidance and Referral: Guide clients through the intake process and ensure they are referred to the appropriate services, programs, staff members or external resources. Schedule appointments and follow-up meetings for clients with the relevant departments when required. Maintain up-to-date knowledge of all WomenVenture services and initiatives to provide accurate and comprehensive guidance. Client Experience Strategy Support Assist the Chief Programs & Client Experience Officer in the implementation of projects aimed at improving the overall client experience. Gather and analyze client feedback to identify areas for improvement in service delivery. Collaborate with team members to design and execute client satisfaction surveys, outreach campaigns, and follow-up procedures. Administrative Support: Maintain accurate and confidential client records in the organization s CRM. Prepare and distribute informational materials and resources to clients as needed. Support the administrative needs of the Client Experience (CX) team, including meeting coordination and minute taking. Communication and Coordination: Communicate effectively with clients, team members, and other stakeholders to ensure seamless service delivery. Participate in regular team meetings and contribute to discussions on client service improvements. Provide regular updates and reports on client intake activities and project progress to the management team. Minimum Qualifications Required: Must be willing and able to work at least 2 hours per day during WomenVenture s core business hours (9am 5pm) Monday Friday to respond to intake calls and emails. Remaining 10 hours per week are flexible. Minimum of 2 years of experience in client service, intake coordination, or a related role. Experience in a non-profit or CDFI organization is a plus. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite and Dynamics CRM preferred, with an ability to learn and adapt to proprietary industry software products. Strong organizational and time-management abilities. Ability to handle sensitive information with confidentiality and professionalism. Empathetic and patient with a genuine desire to help clients achieve their goals. Preferred Qualifications: Strong interpersonal skills and a positive, client-centric attitude. Ability to work independently as well as part of a team. Adaptable and able to manage multiple priorities. Excellent customer service skills. Excellent cultural competencies and ability to collaborate across diverse perspectives, ideas, and people with diverse backgrounds.
