Job Description
The Administrative Associate IV provides advanced secretarial and administrative support to the Departments of Engineering and Computer Science (http://www.tarleton.edu/csee/) , as well as Mechanical, Environmental, and Civil Engineering (http://www.tarleton.edu/mece/) within the Mayfield College of Engineering (http://www.tarleton.edu/engineering/) . This position coordinates daily office activities to ensure smooth workflow and effective communication. Responsibilities include managing complex, sensitive, and confidential matters, along with providing expertise in organizational planning and problem-solving.
This is a full-time, in-person position located on Tarleton’s main campus in Stephenville, Texas. Standard work hours are Monday through Friday, 8 AM to 5 PM, with flexibility for evenings and weekends as needed for scheduled events.
Requires the ability to work remotely at the University’s discretion
Responsibilities:
Administrative Support
Delivers advanced administrative support for office functions.
Develops and implements complex or specialized office procedures.
Reviews and processes various documents, including forms, reports, and tables.
Maintains office reference materials, including digital resources.
Scheduling and Coordination
Manages office schedules, appointments, and meeting logistics.
Organizes meetings, seminars, and events, including arrangements for facilities, equipment, and catering.
Assists in planning and executing special events.
Coordinates the maintenance of files, records, supplies, and office equipment.
Compliance and Policy
Communicates, interprets, and enforces office policies and procedures.
Monitors compliance with established policies and procedures as needed.
Information and Communication
Provides technical information on administrative procedures, services, and programs.
Researches and analyzes requirements for specific programs or projects.
Record Keeping and Fiscal Management
Maintains detailed fiscal, administrative, and academic records.
Conducts special analyses and prepares project summaries.
Manages logistics such as cash handling, document delivery, and supply distribution.
Personnel Support
- Assists management with hiring and supervising student workers and support staff and handling complex, confidential matters as needed.
Minimum Requirements:
High school diploma or equivalent combination of education and experience.
Four years of related experience.
Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, and database applications
Effective verbal and written communication skills
Strong interpersonal and organizational skills
Ability to multitask and work cooperatively with others
Ability to work with sensitive information and maintain confidentiality
Salary:
Commensurate with experience
The target base hourly compensation is $18.03 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
