Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Three (3) years of full-time, financial accounting experience, including reconciliations, financial analysis and/or various report preparation. Experience with Microsoft Excel or a similar tool to include but not limited to V-Lookup, Pivot Tables, Macros. Experience working with a CRM platform program analytics (such as, Salesforce, Razors Edge) creating, exporting and analyzing data. Experience maintaining data, data analysis and financial reporting.Preferred Qualifications:
Bachelor's degree (foreign equivalent or higher) in Accounting, Finance, Business or related discipline. Knowledge of SUNY and/or Stony Brook University systems and software, such as PeopleSoft, SUNY BI, SBU Reporting, Concur, Avid, etc. Experience working in a Higher Education environment. Experience with sales, client and/or customer service. Experience with Salesforce CRM. Experience working with Procurement and/or Legal teams in the process of contract negotiations and execution.Brief Description of Duties:
The Business and Contract Analyst will support the Associate Director of Strategic Partnerships and the Assistant Dean for Finance and Administration with Alda Center workshop operations including but not limited to, workshop invoicing and account reconciliation, business travel accounting, CRM platform analysis and reporting, financial forecasting, and contract preparation and execution. The analyst will be responsible for tracking Alda Center workshop progress to ensure contracts are executed, workshops are invoiced, travel expenses are submitted and reconciled. S/he will also provide financial insights, reporting, and analysis of financial data and performance measures, monitor key financial and operating metrics, all of which will enable the Center's leadership team to make informed decisions about workshop programming, capacity building, and strategic growth. The incumbent will be proactive in planning, identifying inefficient practices or potential problems, and creating technical and systematic processes to ensure the Center is effective and efficient in its programming. Being detail oriented and self-motivated are important in this role.

The successful candidate must be highly motivated, detail-oriented and have a strong commitment to client service. They must work well in a team environment and have the ability to quickly adapt to changing priorities.

Duties:

  • Platform Reporting:
    • Lead and design Salesforce projects, compile data and generate reports to inform strategic planning, create workflows and automations, system maintenance.
    • Liaise with our Salesforce (CRM) Account Manager in order to ensure the platform meets the needs of our Workshops team.
    • Process automation will reduce data entry errors and provide for increased efficiency in working booking and planning, a faster response time to clients, and increased workshop revenue. This will include Implementation and maintenance of naming conventions for all records to expedite accurate search results.
    • Troubleshoot system issues.
    • Perform a weekly backup of the system and generate reports to assist leadership.
    • Track follow-up activities for workshop clients with a post-event component.
    • Co-manage evaluation and assessment process of our clients' workshop experiences to capture feedback, provide instructor feedback, measure our training effectiveness and inform curriculum design.
  • Contract & Invoicing:
    • Liaise with SBU's Procurement Office and Contracts Officer in the negotiation process of workshop contracts with clients, which may include government agencies, national labs, universities.
    • Demonstrate excellent customer service by following up with clients regularly to ensure contracts are executed in advance of workshops and are invoiced/paid accordingly.
    • Follow up and work with any necessary departments and/or external parties to resolve any issues and ensure the timely billing and collection of the Alda Center's Accounts Receivable.
  • Workshop Travel:
    • Assist in organizing and making travel arrangements prior to each workshop, as well as expense reporting and reimbursement. This will require collaboration with SBU's Procurement Office and the Center's Senior Workshop Coordinator.
  • Other duties or projects as assigned and appropriate to rank and departmental mission.


Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.For this position, we are unable to sponsor candidates for work visas.
