Stony Brook Medicine (Stony Brook University Hospital) Staff Assistant II - Emergency Department in Stony Brook, New York

Position Summary

At Stony Brook Medicine the Staff Assistant to the Associate Director for Emergency Services and Internal Medicine will schedule meetings, prepare Powerpoint and Excel documents, provide oversight and continuity in the EMS billing process for ambulance transportation, assist in the scheduling and course completion paperwork for multiple training programs (Advanced Cardiac Life Support, Pediatric Advanced Life Support, continuing medical education documentation for EMS staff, etc.). This position will coordinate purchasing commodities through contact with appropriate vendors, obtaining price quotes, and entering orders into the Lawson purchasing system.


Duties of a Staff Assistant in the Emergency Department may include but are not limited to the following:

  • Review ESO EMS electronic medical records for completeness and compliance with all government and private payor requirements
  • Complete appropriate coding for billing purposes for EMS medical records
  • Contact vendors to obtain product information and pricing
  • Complete orders in the Lawson purchasing system
  • Complete daily, weekly, monthly and annual required data for EMS operations
  • Schedule meetings, complete minutes for meetings, and respond to phone calls/inquiries in a timely basis
  • Schedule hospital staff to complete various medical training programs
  • Complete all post-course required paperwork
  • Assist in the development and procurement process for the capital budget
  • Assist in the oversight of the parking and valet operations
  • Ability to work collaboratively and professionally with physicians, EMS providers and staff at all times.
  • Any other duties/projects as assigned by supervisor

QUALIFICATIONS

Required:

  • Associate's degree or, in lieu of the degree, at least 3 years of current full-time experience as an Emergency Medical Technician.
  • Expertise with the Microsoft Office software suite
  • Working knowledge of Medicare/Medicaid ambulance billing coding and processes
  • Expertise in medical terminology
  • Expertise in the ESO EMS Electronic Medical Record
  • NYS Emergency Medical Technician

Preferred:

  • Bachelor's Degree
  • 5 years of current full time experience as an Emergency Medical Technician

  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 5 panel drug screen*
  • Successfully complete a Background Check investigation.
  • Provide a copy of any required New York State license(s)/certificate(s).

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.
