Job Title: Clinical Rotation Coordinator/Program Coordinator

Department: Office of Academic Affairs & Student Services, Clinical Education

Facility: School of Osteopathic Medicine

Reports To: Director, Clinical Education

SUMMARY:

Under the direction of the Assistant Dean for Clinical Education and the Director of Clinical Education, is responsible for managing day-to-day the Clinical Education operations, which include implementing, coordinating, scheduling, and monitoring the ongoing educational component in the classroom, affiliated hospitals, clinics, outpatient facilities and preceptorships. The individual assists and supports faculty and students, in the teaching and evaluation of student performance and coordinating and disseminating information.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

CLERKSHIP YEAR:

Serves as point-of-contact for core clerkship students. Advises, instructs, and guides students with clerkship planning and scheduling through meetings, information sessions, and email communication.

Assists with the coordination and planning of the Clinical Skills Course.

Maintains One45 educational records related to clerkship scheduling and curriculum. Creates instructions for the lottery, monitors its progress, runs the match, then releases results.

Works closely with the Center for Student Success, Student Affairs, Clerkship Directors/Coordinators, and Office of the Registrar to ensure student completion of all Clerkship and Year IV academic requirements.

Establishes and maintains ongoing relationships with hospital partners and serves as point-of-contact for hospital-related issues.

Assists in developing new sources for clerkships via meetings, site visits, phone calls, emails.

Collaborates with hospital partner Coordinators and Managers to help ensure ongoing student compliance with hospital onboarding requirements, secure clinical placements as needed, and assist with the coordination of yearlong schedules, hospital orientation, and onboarding (EMR access, scrub access, badging, etc.).

FOURTH YEAR:

Educate students regarding Rowan Virtua SOM Year IV curricular requirements, how to schedule internal and outside electives/core rotations, necessary paperwork and requirements for internal and external rotations, and other integral processes regarding fourth year rotations.

Maintains One45 educational records related to Year IV scheduling and curriculum.

Acts as a liaison between Rowan Virtua SOM and other institutions who educate our students.

Works closely with the Center for Student Success, Student Affairs, Clerkship Directors/Coordinators, and Office of the Registrar to ensure student completion of all Year IV academic requirements.

Assists with the acquisition of rotation evaluations and coordination of preceptor evaluation from student clinical rotations.

Assists in developing new sources for electives and Year IV Core rotations via meetings, site visits, phone calls, and emails.

Develops international educational opportunities for fourth year rotations - explains and advises students on international policies and needed paperwork in coordination with the registrar’s office.

GENERAL DUTIES:

Works with the Assistant Dean of Clinical Education to develop and implement clinical education program initiatives related to curriculum, outcomes, and strong partnerships with clinical sites.

Participate in site visits at hospital partners with students, staff, and faculty.

Maintains and updates Clinical Education website and other public Clinical Education documents to ensure information is relevant and accurate.

Occasionally oversees the coordination and administration of COMAT and Departmental exams.

Attends and participates on school committees, including, but not limited to: Curriculum Committee, Clerkship Directors, Clerkship Administrators, Tripod, and SAPC.

Keeps abreast of all federal, state and Rowan University, laws and policies as they presently exist and as they change or are modified.

Understands and adheres to Rowan-Virtua SOM's compliance standards as they appear in Rowan University’s Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

Bachelor’s Degree in Education, health education field, or a related field (Master’s Degree preferred) plus two (2) years of related medical education experience. Applicants lacking a degree may substitute with 10+ years of medical education experience.

Experience with diverse populations, awareness of one’s own attitudes, beliefs, biases, and assumptions about others and a record of respect and openness towards people whose social and cultural background is different from one’s own is a plus for this position. Candidates should have the ability to recognize and manage one’s behaviors and communications to create an inclusive, equitable, and welcoming environment within the department/organization.

Excellent communication skills, both oral and written. Proven ability to work cooperatively with students and staff.
