Position Summary: The Assistant Office Administrator will work within the Operations department and report to the Project Director. This role involves close collaboration with accounting, safety, engineering, and craft payroll teams. The Assistant Office Administrator supports the project team and performs a variety of administrative and clerical tasks. This position is located at the project site in Sunnyvale, CA.

SALARY RANGE: $68,000 - $80,000 annually Depending on Experience

PRINCIPAL RESPONSIBILITIES:

  • Assist Project Managers with various clerical functions.

  • Maintain company lists.

  • Meet with local hotels to negotiate package deals for out-of-town travelers.

  • Arrange travel and accommodation for staff traveling to other project locations or attending annual meetings/banquets.

  • Provide backup support to other administrative roles when necessary.

  • Manage jobsite incoming and outgoing mail accounts.

  • Perform various administrative assistant duties as they arise.

  • Maintain office equipment, oversee office supply orders, and handle office maintenance issues with vendors.

  • Handle confidential information with integrity and discretion.

QUALIFICATIONS, SKILLS, AND ABILITIES:

EDUCATION:

  • High School Diploma or GED required.

EXPERIENCE:

  • At least one (1) year of administrative support experience is required.

  • At least one (1) year of data entry experience is preferred.

  • Experience in accurately entering data into databases and spreadsheets.

  • Experience in verifying data for accuracy and completeness.

  • Ability to perform routine tasks consistently and efficiently.

  • Strong communication skills at all levels of support.

POSITION-RELATED SKILLS:

  • General construction knowledge and familiarity with construction terminology and processes preferred.

  • Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, PowerPoint, and Teams), with a general understanding of working within a computer network.

  • Experience with DocuSign preferred.

  • Ability to maintain a cooperative attitude and work well under high-pressure situations.

  • Excellent time-management skills, with the ability to multitask and prioritize work while frequently interrupted by phone calls and work-related questions.

  • Strong written and oral communication skills, with the ability to develop strong interpersonal relationships.

  • Ability to work well in a large professional setting, demonstrating patience and professionalism.

  • Strong team player with the ability to collaborate with various personnel across departments and at all levels of leadership.

ESSENTIAL FUNCTIONS:

  • Standing/Walking/Sitting: Combination of standing, walking, and sitting throughout the workday.

  • Stair Climbing: Must be able to climb stairs (5% of the day).

  • Hands/Arms: Constant use of hands/fingers for mouse/keyboard/computer use.

  • Sight: Visual acuity in near, mid, and far range vision. Color vision, peripheral vision, depth perception, and hand/eye coordination.

  • Hearing: Sufficient to hear conversational levels in person and over the telephone.

  • Speech: Sufficient to be heard in person, speak in front of groups, and be understood over the telephone.

  • Lift/Carry: Up to 25 lbs – minimal.

  • Bending/Twisting: Minimal.

  • Kneeling/Crouching/Crawling: Minimal.

  • Mental Alertness: Constant mental alertness, accuracy, and attention to detail required.

  • Independence: Must be able to work independently, make decisions, and follow through on assignments.

  • Creativity/Judgment: Must use creativity, independent judgment, organizational, and problem-solving skills to determine the best methods to achieve desired results.

  • Planning/Organizing: Must be able to plan and organize work.

  • Competency: Must possess strong organizational and computer skills and have a high level of competency in reading, writing, and speaking English, interpreting construction-related documentation, and communicating with coworkers.
