SUNY Upstate Medical University Administrative Assistant 2, SG 15 in Syracuse, New York

Job Summary:

The Administrative Assistant 2 reports directly to the Chair of Pharmacology. Will provide administrative support by greeting guests, answering telephones, sending and replying to emails and coordinating departmental projects, programs, reports, Faculty Affairs, and travel arrangements. This includes arranging meetings and catering for department Faculty, students and staff . Will prepare and process personnel materials and assist in maintaining records of payroll for the department, including: F1s, appointment and change forms, volunteer forms, etc. Management of office equipment, maintenance, repairs and ordering supplies; and managing/maintaining/reconciling State and Research Department accounts and endowments. Will establish and maintain office procedures; prepare work requests, key requests, and telephone/computer IT requests; and coordinate and oversee the administrative aspects of recruitment, hiring and department orientation of new personnel. Will also maintain graduate student records including stipends, course materials and grades and manage the schedule for several conference rooms.

Minimum Qualifications:

NYS Department Civil Service Exam or Eligible for Transfer

Work Days:

Schedule based on a 37.5 hour work week. Monday-Friday, 9:00am-5:00pm. Located in Weiskotten Hall
