Title: Clerical Specialist II

Unit: Office of Research Programs (ORP)

Salary: $49,000 - $51,000 annual DOQ

Brief description of duties: Travel and Payments Specialist as follows:

  • Independently audit Research Foundation and College Foundation paper and electronic travel reimbursement requests from all travelers and all departments in a timely manner

  • Maintain a thorough knowledge of RF travel rules and policies

  • Provide excellent customer service while serving as reference source (in person, phone and written) for faculty, staff, students and outside agencies

  • Communicate RF travel policies, procedures and guidelines to ESF personnel through large and small group and individual training, and through written and verbal communication with faculty and staff

  • Follow up as needed on travel arrangements or reimbursement requests that do not conform with RF policy

  • Assist and back up the Administrative Staff Assistant as needed with processing of travel payments through the Oracle Accounts Payable module

  • Act as point of contact for all third-party RF Contract Travel vendors

  • Track open items related to travel and follow up for resolution

  • Serve as RF Travel Card Issuer and Fuel Card Administrator, including preparing allocation of charges and all training of new and existing cardholders

  • Reconcile and track RF Purchasing Card program

  • Backup for and assist the Administrative Staff Assistant with vendor payment processing as needed

  • Ensure that the travel reimbursement process is documented on the Research Division's website and other key publishing sites.

  • Identify process improvement opportunities to support expense report processing efficiencies including electronic submission of expense reports, increase use of travel cards, updates to paper and electronic forms.

    Job Requirements:

Required Qualifications:

  • Minimum of 3 years progressive experience in an office setting or a combination of higher education and experience

  • Must be highly organized, detail oriented and able to follow up with stakeholders to ensure approvals are obtained and processes are completed

  • Strong written and verbal communication skills

  • Customer-service oriented with the ability to work within a team and multitask in a fast paced, deadline-driven environment

  • Ability to identify, research and resolve problems, and follow-through on tasks with moderate direction

  • Demonstrated proficiency with Microsoft Word and Excel

Preferred Qualifications:

  • Knowledge of Oracle Business Systems and Oracle BI Reporting

  • Experience with travel expenses processing

  • Experience with Accounts Payable

  • Experience in requesting, collecting and organizing business-related information from large groups of non-business-oriented individuals (e.g. College faculty)

  • Experience collecting, analyzing and reporting on large financial data sets
