Your Specific Responsibilities:
The Division of Disability Determinations is responsible for adjudicating medical disability claims for Social Security Administration (SSA) and State of Florida Medically Needy Program. This position is directly responsible for providing technical computer systems processing assistance to support staff, adjudicative staff, medical consultants, and medical providers. The incumbent is responsible for developing, assessing, and maintaining internal operational procedures to ensure that cases are electronically managed in accordance with SSA and MN regulations, i.e., timely, accurately, and ensuring the associated medical evidence identified in the initial claim is requested and associated with the claim in order for the adjudicative staff to promptly process claims. Specific duties related to these functions are listed below.
This position spends more than 50% of the time engaged in supervisory responsibilities. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing employees' work. The incumbent has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action. The incumbent will also be required to develop performance expectations, meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and complete timesheets.
Manages and directly supervises a unit of Medical Disability Case Record Specialist (MDCRS) in all aspects of their individual duties relating to processing medical disability claimants’ electronic records. Prioritizes and coordinates individual staff production activities to maintain a consistent workflow. Analyzes and addresses problem areas in the electronic processing systems and notifies appropriate staff as needed. May also coordinate/supervise the activities of the Operations Analyst Specialist I positions as needed and/or assigned.
Provides daily consultation and advice to support and adjudicative staff as needed on the technical aspects as related to the electronic processes for record management activities of the case control process; the consultative examination (CE) process; the medical evidence of record (MER) process; and the Physical, Psychological Consulting Staff (PPCS) case assignment process.
Provides advice and assistance to unit members on a regular basis individually and in staff meetings. Participates as part of the office management team and provides input as needed and/or requested.
Coordinates office coverage with other supervisors for predevelopment activities on a daily basis based on planned and unplanned leave to ensure continuity of service to claimants and adjudicators while also establishing accountability for performance tracking.
Monitors staff performance to ensure timely submission of electronic documentation to adjudicative staff; also provides collection of data for ongoing performance analysis. The ongoing monitoring provides for early prevention of backlogs and early performance intervention opportunities.
Evaluates staff performance utilizing established criteria meets regularly with employees to assure that the criteria is understood, and areas of concern are dealt with timely and appropriately. Compiles production and quality statistical data frequently and at a minimum quarterly.
Provides training to new staff and develops and presents training material to train staff on new or revised operational processes.
Performs other duties as assigned.
These duties will require access to Social Security Administration computer systems, email system, Intranet and Internet applications, and may require access to the State of Florida Financial Systems.
