As the Contract Administration Specialist, you will support the Inside Sales Account Managers. Outside Sales Account Executives, Product Managers, Alliance Managers and other areas of the business to process and close contract transactions. Using your contract expertise, you will be the liaison between internal teams and customers in creating and delivering a high volume of service contracts. You will report to the Contract Administration Consultant and work from one of our local offices in Tampa, FL, Chicago, IL or Houston, TX. This is a Hybrid position with a work schedule of two days in the office and three days from your remote home office.

Key Responsibilities:

  • Act as contractual “middleman” between internal company team members and customers for a large volume of Service Contracts (Statement of Works) and Software Order Forms, ensuring timely review and approval / reconciliation of variations.

  • Review and validate the contract details for accuracy and important inputs for the Customer Support order entry team to process the order.

  • Manage creation and setup of Sub-Contractors, including Master Agreements and Statement of Work (SOW) review.

  • Participate in contract preparation, evaluation, and administration including delivering implemented contract to customer/partner for signature and sending the executive contract following corporate signatures.

  • Work with contracts which include those associated with day-to-day operations, but particularly: on-premises “perpetual” software licenses; SaaS delivery model software offerings/agreements; alliance agreements/relationships; prime-contractor and subcontractor agreements, software order forms and SOWs for consulting services and software implementation, configuration and customization; knowledge management (KM) and training; marketing agreements/relationships.

  • Work with Non-Disclosure Agreements, Master Agreements, Software Order Forms, Statements of Work.

  • Review and validate customer proposed terms and conditions.

  • Draft nonstandard language to be added to Software Order Forms, Statements of Work and various contracts as needed on case-by-case basis.

  • Maintain contractual records and documentation such as receipt and control of all contract correspondence, contractual changes, status reports and other documents for all projects within SharePoint as well as Contract Management System.

  • Provide guidance on contract matters to practice leads, project managers or other operational staff, including training to new project managers and other employees in contracting practices and procedures.

  • Ensure that signed contracts are communicated to all relevant parties to provide contract visibility and awareness, interpretation to support implementation.

  • Assist sales teams in responding to RFx / RFI questions.

  • Conduct contracting business research and due diligence, as required.

Qualifications:

Education:

  • Minimum: Bachelor’s degree in business, Law, or related field or equivalent work experience.

  • Paralegal certification is highly desired.

Experience:

  • 5+ years business or related experience in sales contracts.

  • Software industry (licensing on-premises and SaaS) experience is a plus.

  • Experience with contract process creation and improvement also highly desirable.

  • Strong “process” orientation.

  • Excellent verbal and written communication skills.

  • Excellent organization, planning and presentation skills.

  • Strong time management skills.

  • Proficiency with Microsoft Office (PowerPoint, Outlook, Excel, Word, SharePoint).

  • Ability to work effectively and proactively within a team environment.

  • Ability to coordinate multiple tasks concurrently and to meet deadlines.
