Essential Job Summary:
The Benefits Administration Coordinator is responsible for administering employee benefits programs, ensuring compliance with applicable regulations, and providing exceptional support to employees. This role involves coordinating benefits enrollment and serving as a resource for employees with benefits-related questions.
Essential Job Functions: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.
Serve as the first point of contact for employee benefits questions and issues.
Provide timely resolution to inquiries related to plan details, claims, and eligibility.
Educate employees on benefits offerings during new hire orientation and throughout the year.
Process new hire benefits enrollment, life event changes, and during annual open enrollment.
Coordinate COBRA administration through HRIS system and with the third-party vendor.
Assist with administration of employee benefits programs, including health, dental, vision, life insurance, retirement plans, wellness programs, and other ancillary benefits.
Maintain compliance with federal, state, and local regulations, including Affordable Care Act (ACA), COBRA, FMLA, and HIPAA requirements.
Update and maintain employee benefits records in the HRIS system, ensuring data integrity and confidentiality.
Ensure compliance with Collective Bargaining Agreements (CBAs) by reviewing provisions related to employee benefits and leave of absence policies, ensuring alignment with organizational practices and regulatory requirements.
Assist with audits and reporting activities related to leave management and benefits administration.
Support the Manager of Benefits in planning and implementing wellness initiatives and benefits education campaigns.
Leave Management Support:
Assist with the administration of leave of absence programs, ensuring proper documentation and adherence to company policies and legal requirements.
Guide employees through the leave application process by providing clear information on eligibility, documentation requirements, and timelines.
Distribute timely and accurate communications to employees regarding leave of absence processes, including eligibility, required documentation, and next steps, through email and postal mail.
Requirements and Qualifications:
High school diploma or GED and two years of experience in employee benefits administration.
SHRM-CP or SHRM-SCP and CEBS professional designations preferred.
Strong understanding of benefits programs and related compliance requirements.
Experience with HRIS systems (Ceridian Dayforce experience preferred).
Excellent communication and interpersonal skills.
Strong organizational skills with attention to detail and accuracy.
Ability to handle sensitive and confidential information.
