FirstService Residential Facility Manager in Temescal Valley, California

Job Overview:

The Facility Manager assures that the day-to-day operations of both clubhouses run smoothly by overseeing the maintenance of the facility and common areas, parks and streetscape, performing on-site administration and customer service. This position supports the General Manager to meet Terramor goals and objectives as well as ensuring effective and efficient day-to-day operations of the Terramor community vision via the maintenance of the common grounds and facility; uphold the aesthetics of the community as directed by the Board; and ensure that the highest level of service is being provided to Terramor.

Compensation: $65,580.00-$70,000.00

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

  • Project completion as assigned by board of directors.
  • Safety inspection report completed monthly.
  • Oversight of subcontractors assuring quality performance and compliance with contract.
  • Review all general sub-contractor correspondence.
  • Responsible to ensure walkthroughs of all facilities are completed weekly, and to direct responsible vendors for repairs in accordance with budget guidelines.
  • Responsible for quotes for facility maintenance per reserve study, and other items as deemed necessary.
  • Responsible for completion of applicable punch list items, and delegate where applicable to staff.
  • Ensure all customer service calls and related work orders are handled in accordance with established procedures.
  • Provide input regarding maintenance, repairs, purchases or policies that may benefit Terramor fiscally, decrease liability, or enhance resident satisfaction.
  • Review bid proposals, prior to Board of Directors review and approval.
  • Decision making responsibilities for safety, homeowner relations and policy/vendor issues.
  • Prepare reports for input to the board of directors.
  • Coordinate, monitor and administer Terramor Guidelines related to all facility use activities within both clubhouses.
  • Coordinate and attend as requested designated meetings or functions.
  • Responsible for implementation of the Procedural Manual, and any other duties that may be required by staff.
  • Collaborate on the Master, Special Benefit and facility budget preparation, and capital expenditure recommendations as requested.
  • Update and keep Facility Maintenance manuals current.
  • Other items that may be required as part of job description based upon Board of Directors' requests/FirstService Residential supervisor, or as deemed appropriate.
  • Assist office staff during busy times with incoming resident traffic, access control programming, tenant and lost key fob changes, and with resident /guest inquires.
  • Manages all aspects of community landscaping, collaborating closely with the landscape vendor to ensure top-tier service and aesthetics that meet or exceed expectations
  • Apply a pro-active approach to all areas of responsibility and strive for continued improvement and excellence throughout.
  • Supervision and oversight of Operations staff.
  • Actively participate in the interview and hiring process of Operation staff.
  • Perform periodic and annual evaluations of subordinates and recommend and implement performance management as required.
  • Prepare/monitor subordinates work schedule and payroll submittals.
  • Conduct regular touch base meetings with subordinate staff.
  • Represent professionalism and FirstService Residential's standards of operations to clients and staff at all times.
  • Follows quality system procedures.
  • Other duties as assigned.

Skills & Qualifications:

  • Must be able to handle multiple tasks

  • Must be able to handle deadlines and pressure of the position
  • Must be proficient with Microsoft Office
  • Must have the ability to effectively communicate with the Board, vendors and clients, verbally and through written correspondence

  • Must be a team builder and motivator
  • Is committed to continual learning as evidenced by attendance at seminars, trade shows, and training conferences

Education & Experience:

  • Has a minimum of five years of experience in property management and/or facility maintenance or closely related field.

Supervisory Responsibility:

  • Operations staff
  • Janitors/Maintenance/Porters
  • Landscape Vendors

Tools & Equipment Used:

  • Valid Driver’s License and State Mandated Vehicle Insurance
