Vanderbilt University Senior Program Manager in Tennessee

The Senior Program Manager is part of the Core MD Curricular team within the Office of Undergraduate Medical Education, School of Medicine, at Vanderbilt University and is a key manager responsible for the creation, coordination, execution, and growth of the course support logistics for core courses within all four years (Foundations of Medical Knowledge, Foundations of Clinical Care, and Immersion Phases) of the medical degree program with the distinguished characteristic osf providing individualized educational experiences. This position provides supervision and management of four team members working to support all phases. Reporting directly to the OUME Administrative Director, the Senior Program Manager regularly collaborates with Phase faculty leaders, MD and PhD faculty, and other course support staff, faculty, instructional designers and campus offices.

About the Work Unit:

The Office of Health Sciences Education (OHSE) administers degree programs at the Vanderbilt University School of Medicine. The dedicated staff in OHSE works to provide a range of support including academic program administration, educational design and informatics, financial and administrative oversight, and student services.

Key Functions and Expected Performance:

  • Supervises the day-to-day effort for four staff members, ensuring team is working toward common goals and intended outcomes via assigning, prioritizing, and reviewing assignments and tasks; offering coaching and coordinating training opportunities; providing technical and professional guidance; and delivering regular constructive performance feedback in alignment with expectations of the Office and Phase needs.

  • Manages long-range strategic operational planning for the medical school phases in order to meet predetermined goals, objectives and timelines for the purpose of creating quality faculty and student experiences.

  • Works collaboratively with the OHSE Strategic Communications Manager on maintaining the program website and intranet, updating content on a routine basis and maintaining standards defined across the organization.

  • Continuously compiles, reviews, and analyzes program outcomes against the established goals, objectives, timelines, and compliance requirements as provided by the faculty phase directors, senior administrative leadership, course directors, and Administrative Director.

  • Assists in the oversight of the annual course evaluation review process for the all required courses in partnership with the OUME Evaluation & Assessment Program Manager, including co-writing and editing course evaluation reports, ensuring course directors are provided timely feedback and suggested improvement plans.

  • Empowered to make on-site decisions to resolve problems brought forth by faculty and student participants, suppliers, and vendors.

  • Serves as a point-of-contact for special projects related to the MD program, including expanded support for faculty and testing new or developed technology in order to enhance learning materials and content delivery for the wider curriculum.

  • Assists with financial management to ensure that the program stays within its annual budget and is compliant with Vanderbilt University policies and guidelines.

  • Other duties as assigned, including special projects as time and interests allow.

Supervisory Relationships:

This position has a supervisory responsibility for four full-time staff members and co-manages one graduate student worker. This position reports administratively and functionally to the OUME Administrative Director and to faculty co-directors of the three phases of the MD curriculum.

Qualifications:

  • A Bachelor’s degree from an accredited institution of higher education is necessary.

  • A Master’s degree from an accredited institution of higher education is preferred.

  • Five years of experience in higher education or program administration is required; seven years is preferred.

  • Experience with a learning management system or other complex system is preferred.

  • Established computer skills, specifically proficient use of Microsoft Excel, are necessary.

  • Prior experience with survey software is preferred.
