Executive Assistant Details
Executive Assistant Essential job duties:
Works with Chief Human Resources Officer, Chief Operating Officer, and Chief Information Officer to understand and anticipate objectives and deadlines.
Provides Chief Human Resources Officer, Chief Operating Officer, and Chief Information Officer. support by tracking workflow, schedules, projects, etc., to ensure that paperwork is complete.
Assists Administrators by performing secretarial duties.
Assembles material of reports and special reports or questionnaires.
Receives and screens mail received by Administration. Handles routine mail, i.e., copies to appropriate individuals, routing, etc.
Prepares information for distribution which may include confidential correspondence, memos, contracts, or other materials on a personal computer.
Schedules meetings in various meeting rooms, and orders food from Nutrition Services as needed.
Displays good knowledge of hospital policies and goals of hospital.
Understands functions of various hospital departments to accurately route calls and visitors.
Works well with those in a supervisor capacity, and other staff members. Demonstrates ability to tactfully handle difficult situations.
Attends in-services training and education programs that pertain to Guest Relations.
When requested, is willing to adjust personal schedule to accommodate departmental needs and workload.
Attends mandatory in-services and training as required.
Provides support to departments reporting to Chief Human Resources Officer, Chief Operating Officer, and Chief Information Officer.
Education, Training & Experience
High school diploma required
Secretarial experience preferably in a health care setting.
High degree of professionalism
Maintaining confidential information
Balancing and prioritizing multiple requests and priorities
Strong organizational skills
Strong Microsoft office skills/experience
Attention to detail
Will be asked to help support various projects/initiatives
Proactive and takes initiative
