CHH offers personalized attention from an expert team of caregivers and physicians that utilize advanced technology and clinical partnerships in a convenient, safe and comfortable patient environment. _POSITION SUMMARY/PURPOSE_ Coordinates activities and functions related to the scheduling of patients for surgical and medical procedures performed within the Surgical Services Department. Responsible for identifying the required personnel, supplies, equipment and support needed for work procedure and communication of findings. Also responsible for the accurate and timely posting of charges associated with procedures and confirming that charges are complete to ensure reimbursements are maximized. Works closely with physicians, physician offices, and others in a customer friendly manner in order to prepare an efficient schedule. ESSENTIAL FUNCTIONS 1. Assists the Clinical Manager of Surgical Services in the development, implementation, and evaluation of on‑going operative information systems which assure operational efficiency. 2. Performs/participates in the assessment of software specialty modules as assigned. 3. Implements software modules within defined parameters. 4. Evaluates software programs to identify effectiveness. 5. Submits reports regarding the above within the time frame specified by the Clinical Manager of Surgical Services. 6. Oversees the daily work flow at the reception area and communicates needs for improvement to the Clinical Manager of Surgical Services. 7. Monitors and maintains surgical compliance with regulatory, accrediting, and hospital policy relative to scheduling of operative cases. 8. Assures appropriate surgeon privileges for all surgery scheduled. 9. Participates in the monitoring of operative information system quality control and its evaluation. 10. Identifies elements of operative information systems to monitor. 11. Monitors data inputted for accuracy, completeness and within specified time frame (scheduling and care record updates). 12. Submits quality control reports to Clinical Manager of Surgical Services. 13. Maintains knowledge of all operative software and maintenance routines. 14. Shares information obtained at continuing education or inservice programs with peers. 15. Acquires new skills as required by job. 16. Performs database maintenance routines according to maintenance schedule. 17. Assures system security. 18. Accurately identifies real/potential problems affecting the service and implements solutions with follow‑through and communication. 19. Responds to real/potential problems based on urgency. 20. Reviews data and systems to identify problems. 21. Institutes corrective action. 22. Evaluates effectiveness of corrective action. 23. Collaborates with I/S department and PICIS support services. 24. Schedules all elective surgical procedures. 25. Obtains and enters necessary booking information from person requesting surgical time. 26. Is aware of instrument and equipment limitations of department. 27. Allows adequate time for each procedure according to physician's request. 28. Leaves enough time between cases to allow for room turnover. 29. Attempts to schedule similar types of cases in the same room to increase efficiency. 30. Review and updates surgery schedules daily. 31. Schedules pre-op testing appointments for surgical procedures. 32. Refers conflicts and procedural questions to nurse manager/senior staff. 33. Follows established guidelines for scheduling the number of rooms on a given day. 34. Operates computer terminal. 35. Starts computer according to designated procedure. 36. Corrects and completes all data from previous day. 37. Enters emergency procedure and deletes cancellations. 38. Enters block items. 39. Maintains software; references files and PICIS tables. 40. Modifies reference files as requested by director of surgical services. 41. Assist Service Leaders wit the function of update and maintain physicians preference cards Updates and maintains physician preference cards. 42. Maintains scheduling system dictionaries 43. Adds and deletes surgical procedures. 44. Responsible for coordinating the educational/learning needs of the OR registrar's and users of the various workstations. 45. Identifies and communicates educational needs of user groups to Clinical Manager of Surgical Services. 46. Collaborates with MIS department and OR nurse educator to identify educational needs. 47. Coordinates various educational needs. 48. Evaluates effectiveness of educational programs for specific users. 49. Promotes a positive and professional image. 50. Answers telephone, identifying self in a pleasant manner. 51. Responsible for effective and efficient OR scheduling and utilization. 52. Assures cases are scheduled according to individual physician averages/designated prep and turnover time. 53. Monitors block book utilization. 54. Monitors delay causes and cancellations and generates reports accordingly. 55. Attempts to minimize downtime of rooms between cases. 56. Attends all required safety training programs and can describe his/her responsibilities related to general safety, department/service safety, and specific job‑related hazards. 57. All required safety education programs have been attended. 58. Provides complete and accurate responses to safety questions. 59. Operates assigned equipment and performs all procedures in a safe manner as instructed. 60. Maintains work area and equipment in condition required by department standards. 61. Demonstrates proper body mechanics in all functions. 62. Follows the hospital exposure control plans/bloodborne and airborne pathogens. 63. Demonstrates knowledge of techniques, procedures, and correct use of protective barrier equipment. 64. Assures a safe environment by instituting appropriate control measures. 65. Attends annual education programs. 66. Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment. 67. Interacts with all of the above in a considerate, helpful, and courteous manner as observed by Manager and peers. 68. Fosters mature professional relationships with fellow employees in a courteous, friendly manner as measured by management observation and peer input. 69. Maintains professional composure and confidence during stressful situations. 70. Maintains open communication using appropriate chain of command regarding issues. 71. Conducts all work activities with respect for rights and wishes of patients, visitors, families, and fellow employees. 72. Maintains confidentiality of all hospital and patient information at all times as observed by peers and management. 73. Presents neat appearance in proper attire and identification as required by the position, department, and hospital policy. 74. Continuously displays a "can do" attitude within the department and across departmental lines to contribute to the overall customer service program in place at the hospital. 75. Promotes effective working relations and works effectively as part of a department/unit team inter- and intradepartmentally to facilitate the department's/unit's ability to meet its goals and objectives. 76. Participates in staff meetings as determined by manager. 77. Supports the hospital's mission, policies, and procedures through attendance and participation at committee meetings, if applicable. 78. Utilizes automated system to communicate inter- and intradepartmentally, as appropriate. 79. Completes work assignments on time/readily accepts assignments as observed by manager. 80. Reports to work on time, as observed by manager. 81. Is at work as scheduled, as observed by manager. 15. Prepares surgery schedule. * Prepares tentative surgical schedules for three days ahead. * Prepares final version of schedule for following date for departments to view. * Communicates any changes affecting the next days schedule to charge nurse and/or nurse manager/senior staff. 16. Maintains patient records from previous day. * Ensures that all charges are accounted for. * Maintains surgical schedule within scheduled work hours as determined by OR Committee. * Compiles statistical reports and distributes as specified. 17. Performance of other duties as assigned. * Answers telephone and communicates messages to appropriate people. * Generates management reports as requested by various members of the health care team. * Willingness to perform other duties as assigned. 18. Responsible for effective communication horizontally and vertically within the organization. * Disseminates information to operative computer users. * Submits weekly and monthly management information reports to Clinical Manager of Surgical Services. 19. EDUCATION Associates Degree in business or information systems or equivalent relevant experience. EXPERIENCE Meditech experience. Fundamental understanding of operating room scheduling experience.
