Robert Half Event Coordinator in Tucson, Arizona

Description

We are offering a short term contract employment opportunity for a Project Event Coordinator in Tucson, Arizona. This role is crucial to the organization and planning of community events, as well as internal communication within our team. As a Project Coordinator, you will be tasked with a range of responsibilities that ensure the smooth execution of events and meetings.

Responsibilities:

• Facilitate the planning and execution of community meetings and events by providing essential support to the community relations team.

• Manage logistics for both in-person and virtual public meetings and events, including the coordination of meeting materials.

• Collaborate with internal teams to organize meeting locations and distribute meeting notices.

• Participate in meetings and events, including set-up, interacting with attendees, distributing materials, and managing post-event clean-up. Note that some events may occur outside of regular working hours or on weekends.

• Document interactions with interested parties for record-keeping and future reference.

• Oversee the routing and proofreading of marketing and internal documents to ensure accuracy and consistency.

• Generate minutes and summaries for meetings with clients, the public, and internal teams.

• Update and maintain company calendar as needed, and manage the creation and upkeep of forms and templates.

• Utilize skills in Event Management and Event Planning to ensure successful execution of community and corporate events.

• Leverage proficiency in Asana and Microsoft tools for effective project and task management.

Requirements • Demonstrated proficiency in Asana and Microsoft Office Suite.

• Proven experience in coordinating community, corporate, and marketing events.

• Solid understanding of event logistics including planning, management, and handling.

• Ability to coordinate a variety of events simultaneously.

• Experience in creating and managing event materials.

• Strong organizational skills to handle event coordination effectively.

• Excellent communication skills for effective interaction with all levels of the organization and external stakeholders.

• Ability to work independently and as part of a team.

• Demonstrated ability to handle high-stress situations and make decisions under pressure.

• Experience in managing vendors, timelines, and budgets for events.

• Ability to travel as required for event coordination and management.

• Ability to work outside of standard office hours, including evenings and weekends, as necessary for events.

• Strong problem-solving skills and the ability to adapt to changing circumstances quickly.

• Excellent attention to detail.
