Position Description:

LeoStella is seeking a dedicated and highly detail-oriented Administrative Coordinator to manage daily administrative functions and ensure the smooth operation of our office. The Administrative Coordinator will provide exceptional internal and external client services support various office needs and work closely with different departments to maintain efficient office operations.

Primary Responsibilities:

  • Run daily office operations for our office in Tukwila

  • Ensure the office workspace and common areas are clean, safe, and organized

  • Greet visitors, candidates, and guests of the organization with warm hospitality and assist in completing guest registration process

  • Partners with department leaders to support new hire orientation, including coordinating workspace, building access, and conducting facility tours

  • Maintain NDA’s for visitors, vendors, and applicants

  • Support executives through tasks as needed

  • Oversee confidential materials, meetings, and schedules

  • Collaborate with building management on facility related needs, including fire drills, repairs, and maintenance

  • Facilitate the upkeep of office equipment, ensuring timely cleaning, maintenance, and repairs

  • Provide clerical support when needed, including checking voicemails, sorting and distributing mail, and preparing documents

  • Maintain office supply inventory and order new supplies as required to ensure smooth operations

  • Coordinate catering services for office meetings, client visits, and company events, ensuring food preferences, dietary restrictions, and budgetary constraints are met

  • Order and coordinate delivery of snacks, beverages, and kitchen supplies

  • Assist in planning company local events, as needed

  • Performs other related duties as assigned

    Schedule:

    This position is non-exempt hourly that follows a rotating schedule (9/80); however, this position may require work on the non-working Fridays and hours may be flexed.

  • Week 1: 5 days per week, 8 hours per day (Monday to Friday, 8:00am-4:30pm)

  • Week 2: 4 days per week, 10 hours per day (Monday to Thursday, 7:00am-5:30pm)

    Required Qualifications:

  • High School Diploma, or equivalent

  • 5+ years of administrative and clerical experience

  • Proficient with Microsoft Office Suite, especially Outlook and calendar management

  • Strong knowledge of office management procedures and best practices

  • Excellent verbal and written communication skills

  • Strong interpersonal and customer service skills, with a positive attitude and approachable demeanor

  • Exceptional organizational skills and attention to detail

  • Ability to prioritize and handle multiple assignments as well as take initiative to accomplish tasks

  • Effective time management skills with a proven ability to meet deadlines

  • Highly dependable, punctual, and responsible

  • Ability to stand, squat, reach, and lift up to 35lbs

    Desired Qualifications:

  • Associate’s degree in Office Administration

  • Familiarity with safety regulations and workplace compliance

  • 2+ years of event coordinating experience

  • Previous experience in Aerospace or Space industry

    Compensation & Benefits:

  • Compensation range is $24-32/hr + 10% target bonus

  • Your level/title, base salary, and bonus will be determined on a case-by-case basis and may vary based on the following considerations: job-related knowledge and skills, education, and experience.

  • Base salary is one part of your total rewards package - you may also be eligible for up to 10% potential bonuses. Additional employee benefits are detailed below as well.

  • 401(k) - matching 50% of contributions, up to 6% of your base salary

  • Supplemental paid parental leave

  • Paid Time Off and Flexible Schedule: You may accrue 156 hours of paid time off per year, in addition to 8 company holidays.  You may also have the choice to take Flexible Friday off every other week.
