JOB DESCRIPTION AND POSITION REQUIREMENTS:
Penn State Conferences and Institutes, a department within Outreach, is seeking to hire an Manager of Program Coordination (Administrative Support Manager) to provide support and assistance in the development and delivery of a variety of credit and noncredit educational programs, as well as provide staff supervision and leadership to the unit.
The Manager of Program Coordination will coordinate a small portfolio of educational programs (estimate of 2-5 annually) geared toward youth, Penn State students, and adults. This involves working collaboratively with Program Managers and faculty/chairpersons to support the logistical planning and delivery of a diverse range of programs. Program coordination duties include overseeing advance and on-site registration, processing financial documents, initiating speaker/exhibitor agreements and travel reimbursements, communicating with participants, preparing program materials, and other logistical components of each unique program.
Additionally, the Manager of Program Coordination will supervise a minimum of five full-time Program Coordinators, which includes providing ongoing training and guidance, assigning and monitoring task completion and program planning progress, overseeing workloads and deadlines, managing annual goals and performance evaluation, and supporting staff growth and development.
The Manager of Program Coordination will manage several critical, detail-focused tasks and procedures for the unit, including oversite of LionPATH course offerings each semester, administering SEEQs, coordinating class fee approvals, overseeing records retention, approving SIMBA entries, updating procedural documentation for unit processes, conducting team meetings, pulling data/reports, and serving as the lead point of contact for other core unit operations. This position is considered part of the unit’s leadership team, and as such will we involved in special projects, strategic planning, problem solving, and decision making.
This is a hybrid position that combines remote and on-campus work. Questions related to hybrid work arrangement should be directed to the hiring manager during the interview process.
Education and Experience:
Minimum requirement is an Associates degree plus eight (8) years of relevant experience, including three (3) years of supervisory experience. Or, an equivalent combination of education and experience.
The ideal candidate will have demonstrated skills in project or program coordination. The ability to manage multiple projects simultaneously, excellent communication skills, problem-solving skills, attention to detail, teamwork, and organization are critical to success. We value candidates who are forward-thinking, open-minded, and flexible, who have the dedication to learn a variety of new programs, procedures, and systems. Experience with LionPATH, 25Live, and SIMBA is beneficial but not required. This position requires a flexible schedule during conference delivery and will include occasional weekend and evening work.

The salary range for this position, including all possible grades is:
$51,000.00 - $74,000.00
