Accounting Assistant (Travel)

The Engineering Business Services Center (EBSC) within The Grainger College of Engineering provides business and financial services to faculty, staff, and students located within units being served by shared services.

Duties & Responsibilities

  • Assists with purchasing qualified travel expenses (airfare, conference registration, and hotel reservations) for faculty, staff, students, and Departmental guests using the Travel Card (T-Card) as a departmental cardholder and travel arranger. Performs all required functions in Chrome River (CR).
  • Assists with processing travel reimbursements and miscellaneous expense reimbursements. Processes payments in accordance with University policy. Reviews and completes payments with accuracy and in a timely manner.
  • Assists with processing various check deposits and incoming revenue received on behalf of the EBSC units, including registration payments, expense reimbursements, sponsorships, overpayments, etc.
  • Prints monthly F&S vouchers and Illini Union Vouchers. Saves to retention file for monthly statement reconciliation.
  • Other duties as assigned.

Minimum Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling one (1) year (12 months) from the categories below:
    1. Coursework in accounting, as measured by the following conversion table or its proportional equivalent:
      • 6 semester hours equals one (1) year (12 months)
    2. Coursework in any discipline as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
    3. Work experience in bookkeeping, office support, or closely related experience.

Knowledge, Skills and Abilities

  • Knowledge of university business and financial policies and procedures.
  • Knowledge of personal computers and software packages such as Microsoft Word, Excel, MS Access, e-mail, Banner, and other University financial programs.
  • Knowledge of operation of various office equipment as fax machines, copiers, scanners, and printers.
  • Skill and accuracy in preparing University and Departmental forms.
  • Accuracy, speed, and completeness in performance of tasks.
  • Strong written and oral communication skills.
  • Strong customer service skills.
  • Ability to respond to questions and requests from faculty, staff, and students with judgement to know when supervisor needs to be involved.

Appointment Information

This is a 100% full-time Civil Service 3851 - Accounting Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after the closing. This is a bargained position, and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the Accounting Assistant classification is \$38,555.40 (\$19.772/hour). Hybrid work options may be available for this position, with the ability to be on-site as needed. Work authorization is not available for this position.
