Job Summary

Perform a variety of complex duties to meet daily operational needs of University of Illinois Press that require comprehensive knowledge about accounting principles and bookkeeping applications to ensure compliance with applicable University and departmental regulations and guidelines.

Duties & Responsibilities

  • 1. Perform all functions related to the Accounts Receivable function of the University of Illinois Press. This includes but not limited to: a. Daily reconciliation of journal sales, exam copies, IPay transactions, and refunds, identify discrepancies, and communicate or process corrective actions. b. Preparation of Press deposits, ensuring accurate CFOAP entries to affect proper account, and meeting defined University deadlines. c. Processing of credit card transactions, and researching resolving disputes d. Prepare monthly AR statements and Chrome River reports for Journal Societies e. Process Banner entries for adjustments from CDC and CAP reports, GST tax, and shipping. f. Create AR invoices and send to appropriate vendors. g. Code Deposits and invoices with proper accounting codes for posting to accounting system. h. Initiates follow up requests on outstanding AR invoices
  • 2. Independently perform monthly reconciliation of all UIP Great Plains accounts payable accounts, Banner Accounts
  • 3. Cross train and assist with Press Accounts Payable Press duties as needed
  • 4. Reviewer of UI Press P-card transactions. Approver for UI Press Chrome River transactions. Approver for UI Press IBUY transactions.
  • 5. Perform other assigned duties appropriate for an Accounting Officer classification,
  • 6. Maintain harmonious and productive relations with external contacts, University and Press departments. Serve as positive representative of the Press to the public.
  • 7. Foster innovation and cross-departmental collaboration at the Press. Contribute to Press-wide committees and initiatives.

Minimum Qualifications

High school diploma or equivalent. Any one or combination totaling two (2) years (24 months) from the categories below: Course work in accounting, as measured by the following conversion table or its proportional equivalent: 9 semester hours equals two (2) years (24 months) Course work in any discipline as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate\'s Degree (60 semester hours) equals eighteen (18) months 90 semester hours equals two (2) years (24 months) Work experience in bookkeeping, office support, or closely related experience.

Preferred Qualifications

1. Associate Degree in business-related discipline.

Knowledge, Skills and Abilities

  • 1. Knowledge of multiple software and database programs, both internal and external, and their interrelationships with each other within the Press.
  • 2. Knowledge of multiple OBFS programs/products.
  • 3. Comprehensive knowledge about accounting principles and bookkeeping applications, including the ability to apply financial and cost accounting principles to assigned responsibilities, to ensure business transactions are processed and administered in compliance with University and departmental guidelines and regulations.
  • 4. Knowledge about, and the ability to interpret, University and departmental policies and procedures related to accounting operations and services to ensure all verbal and written communications provide accurat information. Ability to assess and determine when exceptions to established policies and procedures may apply and need further administrative review.
  • 5. Knowledge about guidelines set by Illinois Procurement policies and procedures.
  • 6. Specialized knowledge about the journals\' subscription/fulfillment software to facilitate and maintain the proficiency of daily accounting activities.
  • 7. Advanced computer skills to proficiently perform responsibilities using Microsoft programs (including Word, Excel, Outlook, and Internet).
  • 8. Strong keyboarding skills to perform complex data entry functions accurately and efficiently that need comprehensive knowledge about University and departmental data entry standards.
  • 9. Proficiency with standard office equipment.
  • 10. Ability to work independently and to exercise good judgment and discretion in the performance of all work assignments.
  • 11. Excellent verbal and written communications skills to effectively interact with University and departmental officials and staff, and to develop strong working relationships.
  • 12. Ability to multi-task and prioritize work accordingly to meet deadlines while staying on task with other assigned duties and responsibilities.
