Grainger College of Engineering - Undergraduate Programs Office

The Office of Undergraduate Programs with Grainger College of Engineering seeks an Assistant Director of Academic Affairs. The person in this role is responsible for the overall coordination and supervision of the college dedicated advisors, including training and professional development. They will serve as a College Advisor in the Undergraduate Programs Office as well as collaborate with the Assistant Dean for Academic Affairs to support the implementation of Grainger policies and processes as they align with the Student Code.

Duties & Responsibilities

Advise students on topics such as course selection, academic progress, interdepartmental and intercollegiate transfer decisions, course overloads and underloads, late course drops, dual degree registration, and honors programs.

  • Participate in the 6-8-week New Student Registration program in June and July, advising and registering new first-year students entering the University of Illinois.
  • Provide support for students during Express Advising (drop-in advising) at designated times throughout the academic year.
  • Create a welcoming environment that is inclusive of students from diverse backgrounds.
  • Apply judicious interpretations of Illinois program requirements based on individual circumstances and within the framework of policy guidelines established by the campus and college.
  • Provide advice and counsel regarding viable alternatives in academic, personal, and career options.
  • Respond to queries from students, faculty, staff, and parents/families as appropriate (within the parameters of FERPA).
  • Liaise with colleagues across the university to best leverage resources and initiatives.
  • Provide referrals for campus and academic resources for additional support.
  • Keep thorough records of all student contacts.
  • Assist with review of re-entry petitions and monitoring, advising, and support for these students as they transition back to campus.

Manage aspects of academic affairs and advising within the Grainger College of Engineering\'s Undergraduate Programs Office in consultation with the Assistant Dean of Academic Affairs.

  • Provide supervision and support, including annual performance reviews, for College Advisors.
  • Ensure academic advising information is updated and shared with relevant stakeholders, including The Grainger College of Engineering staff and advising staff within academic units in Grainger Engineering.
  • Collaborate regularly with the Assistant Dean of Academic Affairs to strategize and implement advising program development, address curricular challenges, optimize staffing, and enhance overall program execution.
  • Coordinate the academic progress monitoring, advising, and support for academic warning students across the advising team.
  • Collaborate with Assistant Dean of Academic Affairs for management of the Grainger Interdepartmental Transfer (IDT) process and review.

Coordinate training and professional development opportunities for College and Departmental Academic Advisors in The Grainger College of Engineering.

  • Develop and provide training for new staff based on the University of Illinois practices and NACADA Core Competencies for Academic Advising.
  • Develop and provide training for current staff to maintain consistency in advising across college advisors.
  • Maintain exceptional knowledge of Grainger Engineering and university policies and procedures that impact daily operations.

Participate in activities that facilitate the mission and goals of The Grainger College of Engineering such as engagement in regular Undergraduate Programs Office and Chief Advisor meetings, staff development, and on-going training.

  • Keep current in the field and maintain knowledge of best practices.
  • Engage with campus-level committees for academic exploration.
  • Collaborate with the Assistant Dean of Academic Affairs on other cross-functional activities as needed.
  • Perform other duties as assigned.

Minimum Qualifications

  • Master\'s degree in engineering, a STEM field, higher education, student affairs, college student personnel, counseling, education, or a closely related field.
  • Three years of professional experience working in student academic affairs in higher education.
  • Demonstrated experience supervising staff or students in higher education.
  • Demonstrated programmatic development, implementation, and/or management.

Preferred Qualifications

Five or more years of professional experience working in student academic affairs in higher education.

Two years of experience supervising full-time professional academic advisors in higher education.

Experience working with students interested in STEM, and specifically engineering, fields.

Experience working with diverse student populations.
