HR Data Specialist - Full Time - Days

Job Summary

As a member of the HRIS team, the HR Data Specialist is responsible for providing administrative and customer service support in the areas of HR data entry, records management and reporting. Duties are performed under general supervision. The HR Data Specialist will provide comprehensive, professional customer service, and accurate data entry. Collaborates on process improvement for their areas of responsibility, as well as policy and procedure documentation for HRIS.

Core Job Responsibilities

New Hire/Rehire/Job Change/Termination Data Entry:

  • Reviews employee transaction notifications upon receipt to ensure consistency and accuracy based on policy and guidelines for each organization, employee and transaction type (new hire, rehire, transfer, etc.).

  • Troubleshoots and resolves any inconsistencies with hiring manager, recruiter, compensation analyst, etc.

  • Troubleshoots data issues and works with HRIS Analysts to resolve.

  • Processes timely terminations.

  • Works with Payroll and Benefits on late terminations that caused incorrect payments.

HR Data Updates:

  • Enters FTE, compensation, department and supervisor/manager changes.

  • Enters other required HR data as required (license, certification, education, etc.).

  • Works with Nursing and other departments on newly required license, certification, education requirements.

  • Works with Compensation, Benefits, and Payroll if there are data issues or corrections.

  • Supports performance review, compensation and other staff actions.

Other Duties

  • Researches HRIS data discrepancies and pursues resolution. Collaborates with payroll and other staff as needed.

  • Assists employees and supervisors with understanding of HR policies and procedures.

  • Documents and maintains HRIS Data Specialist procedures and guidelines.

  • Assists in training and providing guidance to new HR Data Specialists.

  • Partners with HRIS division to implement process improvements whenever possible to automate and ensure greater accuracy.

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the division.

Education/Experience Requirements

REQUIRED:

  • High school diploma.

  • 2-4 years in Human Resources or related experience managing and analyzing data, reporting and high-volume data processing.

  • Ability to organize, update, audit, analyze and maintain electronic HR data and records.

  • Excellent organizational and time management skills.

  • High attention to detail, accuracy and speed of input.

  • Strong MS Office skills, especially Excel, with the ability to learn new software rapidly.

  • Proactive and process driven.

  • Excellent interpersonal, verbal and written communication skills.

PREFERRED:

  • Prior experience with Lawson systems strongly preferred.

  • 4 years of human resources experience.

  • Master’s degree in a related field.

Licensure/Certification Requirements

PREFERRED:

  • SHRM certification
